Job Summary

We are seeking a highly organized and detail-oriented Administrative Operations Manager to join our team at Stax Inc. as an Executive Support Specialist. This full-time role will be based in our Boston office and will report directly to the senior leadership team.

Key Responsibilities
  • Manage office assignments for operations and consulting teams, including visitors, and optimize office efficiency.
  • Facilitate office construction, repairs, and development, ensuring a welcoming and productive work environment.
  • Maintain emergency response plans and ensure they are up to date.
  • Manage office supplies and kitchen stock ordering, receiving, and stocking.
  • Assist the People team with staff onboarding and off-boarding, as well as training event support.
  • Plan and organize Boston office client events, team-building events, and trainings.
  • Provide administrative support to senior consulting professionals, including complex calendaring, business travel itineraries, and expense and time reports.
  • Anticipate needs, prioritize responsibilities, and effectively handle calendar conflicts.
  • Support client outreach and facilitate connectivity for contracts, billing, and internal operations teams.
Requirements
  • Bachelor's degree or equivalent experience.
  • Track record of relevant experience.
  • Strong organization skills.
  • Highly proficient with Microsoft Office Suite, especially MS Teams, Outlook, Excel, Word, and PowerPoint.
  • Excellent oral and written communication skills.
  • Impeccable attention to detail and self-review skills.
  • Demonstrates ownership and accuracy of work product.
  • Strong collaborator who knows how to connect the dots.
  • Strong focus on customer service and employee experience.
  • Professional services industry experience strongly preferred.
  • Self-starter who can work with minimal oversight.
  • Ability and desire to learn and develop new skills.
