Key Responsibilities:

  • Deliver timely and effective support to the executive management team.
  • Oversee the executive team's calendar, arranging and preparing for both internal and external meetings.
  • Coordinate accurate and confidential information on behalf of the executive management team to local leadership, international colleagues, external clients, suppliers, and all employees within the Americas region.
  • Draft and refine correspondence, communications, presentations (utilizing PowerPoint & Microsoft Excel), and other essential documents.
  • Collaborate with local and international travel teams to organize business travel and accommodation arrangements, including the completion of expense reports for the team.
  • Facilitate and coordinate approvals in accordance with delegations of authority, including capital expenditure requests, proposals, contracts, and other documents requiring executive management approval.
  • Provide comprehensive administrative and clerical support services, including filing and records management, mail handling, photocopying, and compiling manuals and reports.
  • Offer a broad range of corporate records and management support.
  • Manage the executive inbox, including scheduling and flagging items for approval and action.
  • Proactively follow up on items requiring action on behalf of the executive management team.
  • Lead the social committee, overseeing and planning company events.
  • Perform general administrative and office coordination tasks as needed.

Qualifications:

  • Associates or Bachelor's degree in Business Administration, Management, or a related field is preferred.
  • A minimum of 5 years' experience providing administrative and executive support at a senior level, ideally supporting two or more individuals simultaneously.
  • Proficient in PowerPoint and Excel.
  • Exceptional organizational and time management skills with the ability to prioritize tasks effectively.
  • Exhibit high levels of initiative and the ability to work independently with minimal supervision.
  • Demonstrate discretion when handling confidential matters, showing integrity in all interactions and adhering to internal policies.
