Job Summary

This Administrative Assistant position plays a vital role in supporting the Corps in managing all clerical and general office procedures. The successful candidate will be responsible for providing administrative support to the Corps management team, ensuring the smooth operation of the office.

Key Responsibilities
  • Administrative Support: Provide administrative support to the Corps management team, including responding to requests for information, drafting written responses, and maintaining effective working relationships with employees, other agencies, and the public.
  • Office Management: Establish and maintain effective working relationships with employees, other agencies, and the public. Maintain files in compliance with The Salvation Army (TSA) systems, including correspondence, financial materials, and all corps office-related data.
  • Payroll and Benefits: Responsible for actions related to payroll processing, including time off requests and approval of timecards. Maintain accurate records pertaining to Safe from Harm (SFH) and ensure compliance with TSA policy.
  • Reporting and Statistics: Collect data, track, and implement statistics as needed. Prepare required statistical, financial, reimbursements, deposits, and other reports as needed.
  • Special Projects: Track information relating to special projects as assigned, including Christmas efforts and volunteers. Assist with events and gatherings as needed.
  • Office Maintenance: Track/maintain office equipment and order office supplies. Responsible for basic accounting functions for Corps, including expense reports, reimbursements, receipts, and other duties as assigned.
Requirements
  • Education and Experience: High School Diploma or general education degree (GED) required, with 6 months-related experience.
  • Skills and Qualifications: Ability to be flexible and work on multiple projects or tasks simultaneously. Intermediate Microsoft Word and Excel skills, and the ability to access payroll, timekeeping, and personal data via a web-based system. Administrative skills include utilization of standard office equipment, data entry, 10-key, attention to details, and filing. Good communication skills, both written and spoken, and ability to maintain effective working relationships.
  • Certifications and Licenses: Must successfully complete Safe from Harm training within 90 days of hire, as established by The Salvation Army.
Working Conditions

The work environment is a business office setting with office equipment, light traffic, and moderate noise levels.
