Position Overview:

The Otolaryngology Administrative Coordinator will play a pivotal role in supporting the operations of our Otolaryngology Department.

Reporting Structure:

This position reports directly to the Department Administrator and collaborates closely with Division Chairs and other key stakeholders.

Key Responsibilities:

  • Human Resources Management: Oversee all human resources activities within the division, serving as the primary contact for HR matters. Collaborate with HR teams to implement equitable and inclusive practices.
  • Financial Oversight: Maintain financial integrity across all funding sources, ensuring compliance with relevant policies and regulations. Assist in developing and monitoring the divisional budget.
  • Grants Administration: Manage the acquisition and administration of grants, ensuring compliance with university and funding agency requirements.
  • Space Planning: Assist in both short-term and long-term space planning, coordinating with various stakeholders to determine space needs and manage renovations.
  • Information Systems Management: Support the division's IT needs, ensuring effective use of technology to enhance operational efficiency.
  • Clinical Operations: Collaborate with clinical teams to identify opportunities for improving the efficiency and effectiveness of patient care.

Qualifications:

Education:

  • Bachelor's Degree in Finance, Accounting, Healthcare Administration, Business, or a related field.

Experience:

  • A minimum of three years in a healthcare management role with financial and supervisory responsibilities.
  • Proficiency in Microsoft Office applications, particularly spreadsheets and databases.

Preferred Qualifications:

  • Experience in an academic medical center or large physician group practice.
  • Familiarity with Enterprise Resource Planning Systems and Electronic Health Record systems.
  • Demonstrated ability to lead diverse teams effectively.
