Position Overview:

The Otolaryngology Administrative Associate will play a crucial role in supporting the operations of the Otolaryngology Department. This position is essential for ensuring efficient administrative processes and leadership across various divisions.

Reporting Structure:

This role reports directly to the Department Administrator and collaborates closely with Division Chairs and Chiefs as necessary.

Key Responsibilities:

  • Human Resources Management: Oversee all human resources functions within the divisions, acting as the primary contact for HR matters. Collaborate with HR teams to implement equitable and inclusive practices.
  • Financial Oversight: Maintain financial controls across all funding sources, ensuring compliance with institutional policies and regulations. Assist in budget development and monitor financial performance.
  • Grants Administration: Direct the acquisition and management of contracts and grants, ensuring adherence to university and regulatory requirements.
  • Space Planning: Assist in both short-term and long-range space planning, coordinating with facilities management and external contractors.
  • Information Systems Management: Support the technological needs of the division, managing hardware and software implementations to enhance operational efficiency.
  • Clinical Operations: Collaborate with clinical leadership to identify opportunities for improving the efficiency and effectiveness of clinical practices.

Qualifications:

Education:

  • Bachelor's Degree in Finance, Accounting, Healthcare Administration, Business, or a related field.

Experience:

  • A minimum of three years in a healthcare management role with financial and supervisory responsibilities, or nearing completion of a Master's Degree in Healthcare Administration.
  • Proficiency in Microsoft Office applications, particularly spreadsheets and databases.

Preferred Experience:

  • Administrative or financial management experience within an academic medical center or large physician group.
  • Familiarity with Enterprise Resource Planning Systems and Electronic Health Record systems.
  • Experience in leading diverse teams effectively.
