Position Summary: We are in search of a diligent and reliable Office Coordinator to manage our administrative team and ensure the seamless operation of our office. The ideal candidate will possess exceptional organizational skills, thrive within established processes, and find fulfillment in leading a team to achieve precision and consistency in all administrative functions. A valid real estate license is mandatory to effectively support and manage our operations.

Key Responsibilities:

  • Oversee and manage the administrative team, ensuring timely and accurate completion of all tasks
  • Organize, maintain, and verify office files, documents, and supplies meticulously
  • Establish and uphold office policies and procedures to promote a smooth workflow
  • Coordinate and schedule team meetings, appointments, and other administrative functions
  • Provide guidance and support to administrative staff, ensuring they have the necessary resources to excel
  • Handle communications with professionalism, including phone calls and emails
  • Perform data entry and maintain comprehensive and accurate records
  • Create and manage checklists to ensure efficient completion of office tasks and projects
  • Monitor office budgets, ensuring effective use of resources
  • Utilize your real estate expertise to support team operations and ensure adherence to industry standards

Qualifications:

  • Demonstrated experience in office management or administrative leadership within the real estate sector
  • Valid real estate license is required
  • Outstanding organizational skills with a keen attention to detail
  • Ability to prioritize tasks and manage time effectively in a structured setting
  • Proficient in technology and computer applications, emphasizing accuracy
  • Excellent written and verbal communication skills, with a thoughtful approach
  • Strong capability for creating and maintaining systems, checklists, and structured processes
  • Ability to interpret documents, including contracts and financial statements
  • Adaptable to changes in routine, with a focus on consistency and reliability
  • A dependable leader with a proactive attitude, dedicated to supporting the team and ensuring smooth office operations
