Job Overview

Position Summary:

As a vital member of the Service team, the Service Coordinator plays a crucial role in managing service requests and ensuring outstanding customer support. This position is ideal for a meticulous and committed individual who thrives in handling customer communications, maintaining precise documentation, and working collaboratively with diverse teams to promptly address challenges.

Key Responsibilities:

  • Serve as the main contact for customer inquiries regarding service updates and pricing.
  • Perform technical assessments of service inquiries.
  • Generate Cost Estimates within CRM (C4C) and ERP (SAP S4 Hana) for Calibration, Field Service, and Repair services, ensuring accuracy in application codes and sales identifiers on estimates.
  • Follow up on Service Cost Estimates and after order completion.
  • Oversee the intake of equipment returned by customers.
  • Proactively inform customers about changes in service status and manage any modifications to orders in coordination with Service Administration.
  • Document new contacts, accounts, and email communications in C4C, ensuring the maintenance of C4C accounts.
  • Transform service contract estimates into formal contract orders upon receipt and validation of purchase orders, and create repair orders accordingly.
  • Confirm pricing and delivery timelines on estimates.
  • Ensure precision in converting estimates to orders, covering application codes, sales details, shipping and payment terms, delivery dates, total amounts, request dates, and confirmation dates.
  • Assist with NCR (Non-Conformance Report) follow-ups in collaboration with Sales Assistants.
  • Facilitate timely resolution of issues through effective communication with suppliers, carriers, and internal teams, addressing urgent matters as they arise.
  • Coordinate and liaise with group companies to track the progress of service orders.
  • Maintain the integrity of CRM (C4C) and ERP (SAP S4 Hana) databases, ensuring consistency with order progress and status.

Qualifications:

  • Preferred associate or bachelor's degree in administration.
  • Demonstrated experience in delivering exceptional customer service.
  • Strong written and verbal communication capabilities.
  • Excellent organizational skills, with a keen eye for detail and effective time management.
  • Able to work independently as well as collaboratively in a team-focused environment.
  • Familiarity with C4C and SAP S4 Hana (preferred) or other CRM/ERP systems.
  • Ability to identify and analyze issues, employing creativity and innovation to devise solutions.
  • Strong work ethic with a service-oriented approach.
  • Proficient record-keeping and analytical skills.
  • Adaptability to shifting priorities and demands.
  • Commitment to ongoing improvement and professional development.
