Job Summary
We are seeking a highly skilled and organized Administrative Office Coordinator to join our team at British American Tobacco. As an Administrative Office Coordinator, you will provide administrative and logistical support to our Vice President of Federal Government Relations and FGR staff.
Key Responsibilities
- Provide administrative support to the Vice President of Federal Government Relations and FGR staff, including coordinating meetings, events, and travel arrangements.
- Manage office operations, including coordinating with vendors, managing supplies, and maintaining a clean and organized workspace.
- Process and track financial transactions, including invoices, payments, and expense reports.
- Compile and track data for monthly and quarterly reporting, and maintain accurate records and documents.
- Provide logistical support for on-site meetings, including arranging for food, beverages, and audio-visual equipment.
- Manage calendars, meeting agendas, and printed materials for colleagues and external stakeholders.
- Provide exceptional customer service to internal and external stakeholders, including responding to inquiries and resolving issues.
- Attend and participate in meetings and events as required.
Requirements
- Minimum of 3-5 years of administrative experience supporting multiple functional leaders.
- Experience providing administrative support to an Executive in a matrixed, multi-national corporation preferred.
- Excellent organizational skills, with the ability to quickly adapt to changing priorities and manage multiple tasks.
- Ability to work independently in a fast-paced environment, with a bias for action and a high sense of urgency.
- Strong interpersonal skills, with the ability to build and maintain business relationships.
- Excellent oral and written communication skills, with the ability to effectively communicate with internal and external stakeholders.
- Ability to manage own performance independently and effectively, with excellent time management skills.
- Punctual and able to work a flexible schedule when workloads and deadlines require.
Education and Qualifications
- High School diploma required, Associate or Bachelor's degree preferred.
- Outstanding proficiency in Microsoft applications, including Word, PowerPoint, Excel, and Teams.
