Job Overview

We are looking for a meticulous and efficient Finance and Administrative Coordinator to support a distinguished property management firm. This role merges administrative functions with accounts payable tasks, ensuring smooth operations within the finance department. The successful candidate will serve as the primary contact for visitors and callers while assisting the finance team with critical accounts payable duties. Strong communication skills, attention to detail, and the ability to handle multiple tasks in a dynamic corporate setting are essential.


Core Responsibilities:
Reception Responsibilities (50%):

  • Welcome and assist visitors, maintaining a professional and inviting office atmosphere.
  • Handle incoming calls, directing them to the appropriate departments or personnel.
  • Oversee incoming and outgoing correspondence, including courier services.
  • Manage office supplies and coordinate orders as necessary.
  • Organize and schedule meetings, including room reservations and catering logistics.
  • Provide support with general administrative tasks as needed.

Accounts Payable Responsibilities (50%):

  • Review and categorize incoming invoices for approval and payment processing.
  • Maintain accurate accounts payable records, including vendor documentation and payment histories.
  • Reconcile vendor statements and address any discrepancies.
  • Assist in preparing payment runs, including checks and electronic transfers.
  • Support month-end and year-end closing activities by providing necessary documentation and reports.
  • Collaborate with the finance team to enhance accounts payable processes and efficiency.

Compensation: $18-$20/hr, based on experience
