Your Role
We are seeking an Administrative Operations Coordinator to deliver extensive clerical and administrative assistance across all divisions of Catalis. This position entails a variety of office responsibilities, including overseeing the reception area, managing incoming calls, and organizing mail and other communications.
This role requires onsite presence, working five days a week.
Key Responsibilities
- Provide comprehensive administrative and clerical support to all divisions
- Oversee and maintain the reception area
- Manage incoming phone calls
- Sort and categorize incoming mail, including faxes and emails
- Scan and archive all correspondence (both incoming and outgoing)
- Handle outgoing mail, including operating mailing equipment and preparing letters
- Process address changes, survivor requests, name changes, and other correspondence
- Perform data entry for checks received via mail
- Prepare special letter requests and cover letters
- Order and manage office supplies
- Maintain kitchen supplies
- Act as a liaison for various office vendors
- Forward invoices to the appropriate department
- Assist with processing tasks during peak periods
Qualifications for Success
- High school diploma or equivalent is required
- Ability to work collaboratively, with strong communication skills
- Proficient in managing multiple tasks within set deadlines
- Strong problem-solving abilities
- Excellent oral and written communication skills
- Demonstrated leadership and analytical capabilities
- Highly organized with the ability to exercise sound judgment
- Exceptional attention to detail
- Experience with Microsoft Office Suite (Word, Excel, Outlook, etc.)
