Job Overview

Montgomery College is seeking a dedicated Full-time Graduation Coordinator to join our Records & Registration Department. This position operates Monday through Friday, from 8:30 AM to 5:00 PM. As a Bargaining, Non-Exempt, Grade 21 role, it is important to note that non-exempt positions are not permitted to engage in secondary employment at Montgomery College. Key Responsibilities:

  • Oversee the degree audit process for all potential graduates, which includes gathering graduation applications, entering candidates into the database, assessing program requirements for eligibility, informing applicants of their graduation status, and managing the ordering of diplomas and certificates.
  • Create graduation reports for faculty, staff, and administration.
  • Compile a list of graduates for the commencement program, including designations for Phi Theta Kappa and honors. Ensure Phi Theta Kappa inductees are accurately recorded in the database.
  • Disseminate graduation information to prospective graduates regarding the commencement date, time, and location through various communication methods, including emails, mailings, and in-person interactions.
  • Engage in the Commencement Committee to prepare for commencement activities, including assisting with rehearsals and ceremonies.
  • Provide verification of graduation status and invitation letters for prospective graduates.
  • Manage student registrations for credit courses, making informed decisions on waiver requests and validating special permissions granted by other departments.
  • Address inquiries related to graduation status, commencement events, registration processes, and academic regulations through in-person, email, and phone communications.
  • Ensure compliance with college policies and relevant state and federal laws when releasing information from student academic records, including official transcripts and enrollment verifications.
  • Evaluate and process all course substitutions.

Qualifications Required:

  • High School diploma or G.E.D. or an equivalent combination of education, training, certification, and/or experience that equips the candidate with the necessary knowledge and skills for the role.
  • A minimum of three (3) years of general office experience.
  • Understanding of customer service principles and practices, both internal and external.
  • Familiarity with regulatory compliance principles and practices.
  • Proficiency in personal computer usage and software applications, particularly Microsoft Office Suite.
  • Strong oral and written communication skills, along with interpersonal abilities, organizational skills, accurate data entry, basic calculation skills, proofreading, and creativity for developing user-friendly print and web-based materials.
  • Demonstrated customer service skills.

Compensation: The hiring range for this position is $22.89 to $29.74 per hour, with initial salary placement determined by candidate experience and internal equity.
