Position Overview

This role provides essential day-to-day guidance to Patient Access Representatives, serving as both a subject matter expert and a technical resource. The incumbent is responsible for ensuring that staff deliver an exceptional experience to patients and their families. Effective communication and customer service skills are paramount when engaging with colleagues, patients, families, and management. The role also involves training and educating staff on accurately entering comprehensive orders, demographic data, and insurance details, including authorizations and referrals. Compliance with departmental and institutional protocols, particularly in communicating and collecting patient out-of-pocket liabilities, is a critical aspect of this position.

Key Responsibilities

  • Collaborates with colleagues, visitors, and other personnel in alignment with the values of the organization.
  • Ensures that staff adhere to timely, efficient, and precise registration processes, demonstrating excellence in all tasks performed.
  • Monitors compliance with regulatory and institutional standards; ensures adherence to departmental protocols.
  • Assigns daily work tasks to team members.
  • Conducts quality assurance checks on a sample of registrations to verify accuracy and provides constructive feedback on any deficiencies.
  • Fills in for staff during breaks and covers for scheduled or unscheduled absences as necessary.
  • Maintains a professional demeanor with patients, families, and colleagues, fostering positive interactions within the department.
  • Trains new hires on accurately recording orders, demographic information, and insurance details, providing real-time coaching on workflow changes or quality issues.
  • Strives to meet individual and team performance metrics.
  • Engages with a diverse patient population while ensuring that door-to-doctor times meet departmental standards.
  • Rotates assignments across all service points within Patient Access, including Outpatient Registration and the Emergency Department.

Qualifications

Full-Time Leadership Role

Required Skills and Knowledge:

Comprehensive understanding of patient registration processes, third-party insurance coverage, including managed care plans, benefits, authorizations/referrals, and coverage requirements.

Proficient in computer applications and Microsoft Office, with familiarity in healthcare EHR systems such as EPIC and Cerner.

Demonstrated ability to provide effective feedback and coaching.

Strong verbal and written communication skills, along with exceptional customer service abilities.

Minimum Education and Experience:

Education:

High School Diploma or GED is required.

Experience:

A minimum of 3 years of experience in patient registration is required.

Employment Conditions
