Project Billing Accountant

The Construction Financial Specialist is essential in managing precise and prompt invoicing and billing functions within Construction Services LLC.
This role involves maintaining comprehensive records, generating invoices, and liaising with various parties to ensure seamless financial operations.The specialist collaborates closely with the project management team, finance department, and clients to guarantee that billing processes are executed effectively and adhere to applicable regulations and policies.
Key Responsibilities:
Invoice Generation:
Produce accurate and timely invoices based on contracts, work orders, and project details. Confirm billing rates, quantities, and terms to ensure correctness.
Billing Collaboration:
Work alongside project managers, subcontractors, and clients to collect necessary information for billing. Ensure that all billable items and expenses are accounted for and thoroughly documented.
Record Management:
Maintain organized billing records and documentation, including contracts, change orders, and supporting materials. Update billing databases and systems with precise information.
Billing Verification:
Compare invoices against completed work and materials utilized to confirm accuracy. Address discrepancies or billing issues promptly and communicate with relevant parties to ensure appropriate adjustments.
Payment Monitoring:
Track payment status and follow up with clients to ensure timely payments. Maintain payment logs, monitor outstanding balances, and escalate overdue accounts to the appropriate department.
Reporting:
Create regular reports on billing activities, including outstanding balances, payment status, and revenue forecasts. Present findings to management for review and decision-making purposes.
Compliance and Documentation:
Follow relevant financial and regulatory guidelines, ensuring adherence to company policies, industry standards, and legal requirements. Maintain confidentiality and handle sensitive financial information with integrity.
Client Relations:
Address billing inquiries and provide exceptional customer service to internal and external stakeholders. Resolve concerns, address issues, and maintain positive relationships with clients.
Process Enhancement:
Identify opportunities for streamlining billing processes, enhancing efficiency, and minimizing errors. Collaborate with the finance team to implement best practices and recommend system improvements.
General Ledger Oversight:
Review general ledger accounts to ensure accuracy, assist team members with accounts payable, accounts receivable, and other financial activities, and support the Controller and CFO with month-end closing and related processes.
Qualifications:
Associate's or Bachelor's degree in accounting, finance, or a related field is preferred.
Prior experience in construction billing, accounts receivable, or a similar role is highly desirable.
Proficient in using accounting software, including Sage, Construction Partner, American Contractor, billing systems, and Microsoft Office applications (e.g., Excel, Word).
Strong numerical and analytical skills with keen attention to detail.
Excellent organizational and time management abilities to meet deadlines.
Effective communication skills, both verbal and written, for clear and professional correspondence with internal and external stakeholders.
Knowledge of construction industry billing practices, contracts, and terminology is advantageous.
Familiarity with relevant regulations and compliance standards (e.g., Generally Accepted Accounting Principles, tax regulations) is beneficial.
Ability to work independently as well as collaboratively within a team-oriented environment.
