Position Summary

The Community Operations Coordinator plays a vital role in assisting the Community Manager with the overall administration and operational management of the community. This position is crucial for maintaining accurate financial records while supporting leasing, marketing, and resident engagement initiatives. The Coordinator is tasked with overseeing all financial activities of the apartment community, including rent postings, move-out processes, and vendor payments. In the absence of the Community Manager, the Coordinator will take on managerial responsibilities.

Key Responsibilities

Leasing Duties
  • Welcome prospective residents and assess their needs by covering all relevant criteria. Document all visits and initial interactions.
  • Showcase the community and model apartments, effectively communicating features and benefits to potential clients.
  • Assist applicants in completing their applications and securing deposits in line with company protocols and Fair Housing regulations.
  • Update leasing software, process applications for approval, and communicate the status to applicants.
  • Ensure readiness of apartments for new residents.
  • Maintain ongoing communication with prospects via email and phone.
  • Facilitate lease signing for new residents and orient them to the community.
  • Monitor lease expirations and renewals, distributing and following up on renewal notices.
  • Represent the company professionally at all times.
  • Support outreach marketing efforts, enhance social media presence, and manage promotional materials.
Administrative Responsibilities
  • Familiarize with the Apartment Association lease and credit report application processes.
  • Process rental payments and update property management software accordingly.
  • Record resident charges and payments, preparing daily deposit reports.
  • Review resident ledgers to maintain accurate financial records.
  • Ensure compliance with federal, state, and company policies, verifying all necessary documentation from vendors before processing payments.
  • Prepare final and interim account statements for former residents, managing outstanding balances and recording payments.
  • Maintain records of accounts submitted to collections, updating logs monthly.
  • Ensure timely approval and payment of all invoices received from properties.
  • Prepare financial statements for assigned properties on a monthly basis.
  • Assume Community Manager duties in their absence, adhering to company guidelines.
  • Address delinquent accounts, including current and former resident balances.
  • Collaborate with the Community Manager to maintain a successful resident retention program, ensuring timely distribution of renewal letters.
  • Learn and adhere to all safety regulations at the company, local, state, and federal levels.
  • Promptly address unsafe conditions.
Resident Engagement
  • Engage with residents daily, addressing requests and concerns.
  • Demonstrate conflict resolution skills to manage customer concerns effectively.
  • Assist in organizing resident events, participating as a host when directed.
  • Log service requests and communicate with the maintenance team, following up with residents post-service to ensure satisfaction.
  • Contribute to the community's cleanliness and overall appeal consistently.
Qualifications

Essential Skills
  • Strong attention to detail and sales aptitude.
  • Knowledge of OSHA regulations or willingness to learn within six months.
  • Ability to collaborate effectively within a team environment.
  • Excellent oral and written communication skills.
  • Proficiency in Microsoft Office Suite and community management software.
  • Positive attitude and patience in all situations.
  • Flexibility to work evenings and weekends as needed.
Minimum Requirements
  • High School Diploma or equivalent.
  • 1+ years of experience in a similar role or related field.
  • Ability to obtain Fair Housing certification within 30 days of hire.
  • Must be available to work evenings and weekends.
  • Successful completion of a drug screening.
  • Valid Driver's License.
Preferred Qualifications
  • College degree.
  • Certification as an Accredited Resident Manager (ARM) or Certified Apartment Manager (CAM).
