Position Title: Document Management Specialist
Objective:
The Document Management Specialist plays a crucial role in enhancing the utilization of RAS Signature Processes alongside relevant systems and tools to uphold essential documentation for the Crop Protection and Seeds divisions. This position is pivotal in providing conceptual indexing of proprietary registration records and reports, thereby improving information retrieval efficiency.
Core Responsibilities:
- Identify and address process challenges and enhancements in response to evolving circumstances.
- Contribute to the development of documentation practices, ensuring that procedures are utilized and/or modified to maintain organized, accessible, and compliant information in line with regulatory standards and company policies.
Essential Skills and Qualifications:
- A Bachelor's degree is mandatory.
- Capability to apply knowledge to emerging chemistries and technologies.
- Familiarity with chemical nomenclature is vital.
- Experience with document management systems is advantageous.
- Background in indexing, taxonomy, and metadata is preferred.
- Understanding of regulatory requirements for Crop Protection and Seeds products is essential.
- Strong communication, organizational, time management, and problem-solving abilities.
- Ability to collaborate effectively with all levels of global staff.
- Proficient in systematic summarization of content and metadata for critical registration documents.
- Knowledge of protecting company intellectual property.
- Capacity to work independently in a fast-paced, multitasking environment.
- Adaptability to change and a quick learning curve for complex processes and systems.
- Proficiency in MS Office, Adobe, and SharePoint applications.
- Ability to swiftly learn new processes.
Interactions:
Collaborate with Regulatory and Stewardship teams to deliver document management services and enhance the usability of Document Management tools.
Key Duties:
- Engage in the implementation, ongoing development, and maintenance of document and record management processes to capture vital global regulatory product registration records.
- Provide conceptual indexing of proprietary reports through thorough reading and analysis, identifying key concepts, standard vocabulary, and chemical substance identifiers.
- Clarify and fulfill incoming indexing requests to ensure data integrity by identifying and rectifying errors.
- Support the distillation of indexing knowledge and best practices for integration into guidelines and operational procedures.
- Participate in cross-functional interactions with global registration staff, Platform Management, Global Registration Managers, Legal, and Regulatory Science.
- Maintain confidentiality of highly sensitive information in accordance with company guidelines.
- Assist in testing the document management system following upgrades, enhancements, security updates, and server migrations.
- Contribute to adding metadata values to the document management system's administrative tables.
- Assist in the creation of accounts for new users.
- Help monitor the team’s functional mailbox.
