Job Overview
We are seeking an Administrative Coordinator to provide comprehensive support to the Executive Director through various clerical, secretarial, and administrative functions. This role requires the ability to work independently and effectively manage multiple tasks.

Key Responsibilities
  • Assist the Executive Director by managing their calendar, scheduling appointments, and screening communications.
  • Draft correspondence for the Executive Director's review and manage concert ticket requests.
  • Coordinate travel arrangements and prepare expense reports.
  • Facilitate scheduling and note-taking for NSO staff meetings.
  • Prepare individual agreements for musicians based on standard formats.
  • Administer the Instrument Loan Fund, ensuring compliance with guidelines.
  • Handle inquiries regarding fee concerts, coordinating with relevant parties.
  • Oversee office management tasks, including supply inventory and facility requests.
  • Act as a liaison for the Volunteer Council, coordinating schedules with program staff.
  • Perform additional duties as assigned.

Key Qualifications
  • A minimum of 2 years of administrative experience supporting high-level executives.
  • A Bachelor's degree is preferred.
  • Proficiency in computer applications, including word processing and spreadsheet software, with a typing speed of at least 60 wpm.
  • Knowledge of orchestral music and production is advantageous.
  • Strong writing, editing, and proofreading skills.
  • Ability to work independently with minimal supervision and manage multiple projects simultaneously.
  • Excellent interpersonal skills for effective communication with diverse contacts.
