We are seeking a highly skilled and detail-oriented Senior Administrative Coordinator to join our team at the National Academies of Sciences, Engineering, and Medicine. The successful candidate will provide administrative support to our two boards, several standing committees, and other activities.
Key Responsibilities:- Administrative Support: Provide complex administrative duties, including planning, coordinating, and executing meetings, events, and other activities.
- Communication: Develop and maintain relationships with committee members, staff, and external partners through effective communication and interpersonal skills.
- Documentation and Record-Keeping: Create, maintain, and update records, databases, and files using Microsoft Office Suite, Asana, Adobe Acrobat, and other software and platforms.
- Travel and Logistics: Coordinate travel arrangements, including booking flights, hotels, and rental cars, and manage meeting logistics, including catering, audio-visual equipment, and registration.
- Virtual and Hybrid Activities: Support virtual and hybrid activities, including managing online attendance and participation, managing online and in-room logistics, and coordinating complex activities with other staff members.
- Expense Reports and Compliance: Prepare, review, and process travel expense reports in compliance with National Academies policies and procedures.
- Publications and Communications: Format text and publications, coordinate with internal publications units, fact-check and format references, and solicit permissions and copyright releases.
- Customer Service: Respond to inquiries and follow up on communications, providing information and answering questions from volunteers, members of the public, and other stakeholders.
- Training and Development: Attend required and optional training classes and professional development courses to enhance skills and knowledge.
- Mentorship and Supervision: Mentor and train new administrative staff, coordinate temporary help, and supervise the work of temporary staff.
- Education: High School Diploma, GED, or equivalent knowledge.
- Experience: Four years of related experience.
- Skills: Proficiency in Microsoft Office Suite, Asana, Teams, Adobe Acrobat, and other software and platforms; ability to plan and support extensive meeting activities; ability to solve problems with supervisory consultation or by following procedures; ability to prioritize work and adapt to changing circumstances.
- Work Environment: Hybrid Office/Telecommute environment, with occasional travel between National Academies facilities and to off-site meeting/sponsor locations.
The estimated compensation range for this position is $28.79 per hour. Compensation offered to the selected candidate will be based on relevant knowledge, skills, and work experience, commensurate with compensation of current employees in comparable positions with similar knowledge, skills, and work experience, and subject to budget parameters.
