OVERVIEW

Alvarez & Marsal Europe is in search of a proactive and dedicated Senior Administrative Coordinator to join our Public Sector Services (PSS) division. This pivotal role will be based in our Seattle office and will report directly to the Chief Operating Officer of PSS. The position entails a hybrid work schedule of four days in the office and one day working remotely each week, with standard working hours from 8:30 AM to 5:30 PM.

Our Administrative Coordinators are integral members of our team, providing essential support to our senior executives and departments worldwide. These valued professionals are recognized as strategic allies, enabling our teams to deliver exceptional service to our clients. In addition to overseeing administrative functions for the Seattle office and PSS practice, the Coordinator will be tasked with organizing, coordinating, and executing various special projects and events. The ideal candidate should be self-motivated, resourceful, organized, composed, and capable of working independently while maintaining a keen attention to detail.

KEY RESPONSIBILITIES

Practice Support
  • Deliver comprehensive administrative assistance to PSS Managing Directors, including but not limited to: managing time and expense reports, drafting and refining correspondence, scheduling meetings, maintaining calendars, arranging travel, and handling shipping logistics.
  • Coordinate both internal and external meetings, encompassing team gatherings, full staff meetings, all-hands meetings, off-site meetings, and one-on-one sessions (including setup for in-person or virtual meetings, meal and gift arrangements, etc.).
  • Engage effectively with employees from various business units within A&M and senior executives both internally and externally.
  • Support the onboarding process for new hires and the offboarding process for departing employees.
  • Conduct Excel analyses as necessary, such as comparing event contracts.
  • Collaborate cross-functionally with corporate support teams, including IT, marketing, accounts receivable, accounts payable, legal, and facilities management to ensure seamless business operations.
  • Perform additional duties as assigned.
Seattle Office Support
  • Act as the primary contact for daily office requirements, including maintenance, mail, supplies, equipment, and invoices, in collaboration with the local EA team.
  • Oversee the upkeep of common areas and conference rooms to maintain a professional work environment.
  • Ensure that facilities and office equipment are consistently in optimal working condition.
  • Manage the internal safety program and security systems.
  • Perform additional duties as assigned.
QUALIFICATIONS
  • 7+ years of experience as an Executive Assistant or in Business Operations within consulting, public sector, or healthcare industries.
  • Bachelor's Degree.
  • Exceptional customer service and interpersonal skills; adept at supporting multiple executives with diverse working styles.
  • Strong relationship management capabilities, with the ability to cultivate a personal network throughout the organization as a trusted team member.
  • Excellent verbal and written communication skills; able to convey information clearly and effectively to senior leaders and external partners.
  • Ability to ensure communications are precise, thorough, and specific, with a focus on follow-through and confidentiality.
  • Proficient in computer and calendaring skills, including a solid understanding of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams), Salesforce, Concur, and file-sharing software (e.g., Box).
  • Demonstrated ability to execute administrative tasks with high attention to detail, organization, and process; consistently produce error-free work; organized and detail-oriented with excellent follow-through; able to work independently.
  • Strong problem-solving skills.
  • Self-motivated, diplomatic, and a collaborative team player.
  • Professional demeanor and image.
  • Experience in project coordination and management at an intermediate complexity level.
  • Proven ability to manage projects, work under pressure with minimal supervision, and consistently meet deadlines.
  • Demonstrated willingness to continuously acquire new skills and embrace new challenges.
  • Willingness to travel to other A&M offices as required by business needs.
