Job Summary

We are seeking a highly detail-oriented and organized Purchasing / Billing Agent to support our growing Integrated Manufacturing department. The successful candidate will assist in all daily operations, work closely with the Operations Manager, and provide purchasing support to our Fabrication and Integration Teams.

Key Responsibilities

  • Enter and process purchase orders, including receiving requests for electrical materials and hardware, determining the best-suited vendor, and issuing PO numbers.
  • Analyze vendors for best price, quality, and delivery, and obtain vendor approval from the Project Team.
  • Work with various suppliers to purchase, rent, and schedule deliveries in conjunction with the Logistics Manager.
  • Enter and route AP Invoices for approval.
  • Coordinate with Account/Project Teams on creating, updating, and submitting invoices for client billing.
  • Monthly AIA & GMP Contract Billing.
  • Assist the Site Services Manager with requests and tracking of travel, per diem, and housing for employees.
  • Assist with the review of Accounts Payable.
  • Assist with the review and application of appropriate tax implications to an order/project and distribute tax certificates for vendors as needed.
  • Assist with resolving AR/AP issues.
  • Build relationships with customers' counterparts.
  • Resolve billing discrepancies and customer issues.
  • Help manage and submit prequal information as requested by customers.
  • General office supply management as required.
  • Vendor reconciliations at project closeout.
  • Greet and coordinate clients/visitors with the team.

Working Conditions

  • Mainly office-based but may also include all other work environments as required: sit, stand, talk, hear, use hands and fingers to operate a computer keyboard and telephone.
  • Work is generally performed in a climate-controlled office environment.
  • Primary environment: ambient room temperatures, lighting, and traditional office equipment as found in a typical office environment.
  • A considerable amount of time is spent at a desk using a computer terminal.
  • May on occasion be exposed to loud sounds and distracting noise levels, such as from office equipment.
  • Can be exposed to Heavy Equipment, slippery surfaces, uneven footing on the factory floor.
  • Moderate noise (i.e. business office with computers, phone, and printers, light foot traffic).

Physical Function

  • Repeat the same mental activities.
  • Ability to operate a keyboard at efficient speed and typical business office equipment, including computer hardware.
  • Regularly required to talk and/or hear; use hands to operate objects, tools or controls (phone, computer, printer etc.); and reach with hands and arms.
  • Work performed causes fatigue of eyes, fingers and other facilities because of continuous use of motor senses.
  • Vision and hearing at or correctable to normal ranges.
  • May be occasionally asked to lift, stoop, kneel, and/or move objects up to 25 pounds.
  • While performing the duties of this job, the employee is regularly required to stand, sit, talk, hear and use hands.
  • Regular, predictable attendance is required.
  • Be able to work overtime/weekends when required.

Qualifications

  • High school diploma or equivalent.
  • Minimum 1-3 years of general accounting experience.
  • Basic Texas Sales Tax knowledge.
  • Strong verbal and written communication skills with ability to influence behaviors.
  • Ability to work independently without direct supervision.
  • Strong organizational and interpersonal skills.
  • Strong computer skills and adept at learning new software – Proficient in MS Office Suite/M365.
  • Results Driven & Detail oriented.
  • Excellent Problem-Solving Skills
  • Ability to prioritize and multi-task among various job duties.
  • Ability to interpret instructions and complete tasks as assigned.
  • Must possess a strong desire to provide excellent customer service to internal and external customers.
