Role Summary

The Customer Service Representative collaborates with sales, customer service, and engineering teams to fulfill customer requests efficiently.


Key Responsibilities

To excel in this role, the individual must effectively manage the following responsibilities:

  • Coordinate with engineering and sales teams to assess customer bid specifications for quotations, including reviewing technical drawings.
  • Identify product and service needs in collaboration with customers.
  • Establish and nurture relationships with both existing and prospective clients.
  • Ensure precise order entry into the ERP system.
  • Collaborate with operations and supply chain teams to provide accurate information for managing customer accounts, ensuring timely deliveries and order expeditions.
  • Assist in managing documentation by confirming customer documentation requirements.
  • Guarantee compliance with export regulations through accurate shipping documentation and an understanding of customer export needs.
  • Maintain a professional demeanor when interacting with potential and current customers.
  • Promptly acknowledge and respond to customer inquiries, orders, quotations, terms, and delivery schedules.
  • Monitor open orders for delivery updates and maintenance.
  • Work with the Customer Service Manager to resolve customer complaints effectively.
  • Support the creation of product support materials and promotional content aligned with Sales Department objectives.
  • Oversee and manage special projects as assigned.

Qualifications and Experience

Education

Essential:

  • High school diploma or G.E.D.

Preferred:

  • Bachelor's degree in Business or a related field from an accredited institution.

Experience and Skills

Essential:

  • Up to four years of experience in order entry or customer service.
  • Familiarity with transportation and logistical compliance, including incoterms.
  • Strong communication and customer service skills.
  • Ability to work independently and collaboratively within a team.
  • Proficient in PC-based software tools, including ERP systems, MS Office, and Outlook.
  • Effective communication skills with diverse audiences.
  • Capability to manage multiple tasks simultaneously.

Physical Requirements

The physical demands necessary for this role include:

  • Willingness to travel to various facilities as required.
  • Ability to lift and carry items weighing up to fifty pounds.
  • Vision to read printed materials and computer screens.
  • Hearing and speech capabilities to communicate effectively in person and over the phone.
  • Proficiency in using standard office equipment, including computers and telephones.
  • Ability to wear required Personal Protective Equipment (PPE).

Work Environment

The work environment is primarily indoors in a controlled setting, with occasional exposure to manufacturing areas that may not be air-conditioned.
