Position Overview:

The Healthcare Coordination Specialist will operate within the front office of OnPoint Medical Group's clinics. This role involves welcoming patients, managing phone inquiries, activating patient files, and guiding patients through established protocols to facilitate a seamless visit with healthcare providers. Exceptional customer service is essential, as this position often represents the first point of contact for patients.

Key Responsibilities:

  1. Greet incoming patients in a friendly and professional manner, whether in person or via phone.
  2. Conduct pre-visit preparations, including contacting patients for updated insurance information, verifying insurance, and updating patient records.
  3. Register new patients and confirm the accuracy of information for existing patients.
  4. Collect co-pays and payments as necessary.
  5. Answer incoming calls to schedule appointments and serve as a liaison to clinical staff for patient inquiries.
  6. Perform administrative tasks to ensure a smooth patient visit, timely billing processing, and an organized front office.
  7. Make outbound calls to patients for appointment scheduling.
  8. Strive to meet or exceed established service standards.
  9. Maintain confidentiality and adhere to HIPAA regulations.
  10. Exhibit punctuality and regular attendance as a fundamental responsibility.
  11. Follow management directives and instructions.
  12. Collaborate effectively in a team while also completing individual tasks.

Qualifications:

To excel in this role, candidates must successfully perform each essential duty. The qualifications listed below represent the necessary knowledge, skills, and abilities required for this position.

Minimum Education/Experience:

  • High School Diploma or equivalent.
  • Proficient computer skills are required.

Preferred Education/Experience:

  • Some college education with a focus on medical, business, or accounting.
  • Experience in customer service.
  • Current CPR certification.
  • 1-2 years of experience in a business office or clinical setting.
  • Bilingual candidates are preferred.
  • Experience with EMR systems, particularly Athenahealth, is a plus.

Job Elements and Working Conditions:

  • Regularly required to stand, use hands for various tasks, reach with arms, and communicate effectively.
  • Occasionally required to walk, sit, stoop, kneel, or crouch.
  • May need to lift and/or move up to 10 pounds frequently and occasionally lift more than 25 pounds.
  • Specific vision abilities required include close vision, distance vision, and the ability to adjust focus.
