Position Overview

As a Client Services Coordinator, you will be the welcoming presence for our clients, delivering outstanding customer support with empathy, enthusiasm, and attention to detail. Your role will involve assisting at the front desk, managing patient check-ins, gathering necessary patient information, and performing data entry tasks.

Your daily contributions will align with the mission of the Southwest Center, which is dedicated to providing affirming and inclusive services that enhance well-being and promote health equity for diverse communities, particularly for individuals of color, LGBTQIA2S+ and Queer individuals, as well as those impacted by HIV.

Key Responsibilities
  • Manage the check-in process for all clients and visitors attending appointments and meetings.
  • Handle incoming phone calls professionally.
  • Schedule appointments as required.
  • Conduct data entry for new and updated client paperwork.
  • Verify insurance details for patient appointments.
  • Confirm appointments with healthcare providers.
  • Scan and upload documents into the Electronic Medical Records (EMR) system.

Qualifications

We are looking for candidates who meet the following criteria:

  • High School diploma or GED equivalent.
  • A minimum of 2 years of experience in a front office or customer service role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and familiarity with electronic medical records systems.
  • Strong written and verbal communication skills.
  • Ability to thrive in a fast-paced environment with shifting priorities while maintaining a positive demeanor.
  • Demonstrated cultural competency in serving LGBTQIA2S+ communities.
  • Capability to work effectively in a diverse, mission-driven organization.
Preferred Qualifications

Additional qualifications that would be advantageous include:

  • Experience in medical or behavioral health settings, particularly with individuals affected by HIV/AIDS.
  • Familiarity with eClinicalWorks EMR.
  • Bilingual proficiency in Spanish and English.
Work Environment

This position primarily operates in a climate-controlled office environment with minimal safety hazards. The role may require evening and occasional weekend hours, and travel outside the local area may be necessary up to 10% of the time. Regular tasks include walking, sitting, standing, and using hands for various functions. Specific vision capabilities are required for close and distance vision.
