Position Overview:


The Human Resources Administrative Specialist role is a vital part of the HR leadership team, collaborating closely with HR Business Partners and Generalists to enhance organizational effectiveness and foster talent growth.

This position is under the supervision of the Site HR Business Partner.


The HR Administrative Specialist is tasked with providing comprehensive administrative support to the HR team, ensuring that HR operations run efficiently and effectively at the site.

This includes executing administrative tasks across all HR functions to guarantee that strategic talent management initiatives are implemented seamlessly.

In this role, you will handle sensitive information with the utmost discretion and professionalism, as trust is paramount.

You will also be responsible for maintaining critical data within our HR systems, which are utilized throughout the organization.

Regular interaction with employees and leadership will be part of your responsibilities, necessitating a commitment to exceptional customer service. Most importantly, you will play a crucial role in supporting and guiding our workforce, contributing to our mission of delivering life-saving therapies to clients.

Our Gene Therapy division offers leading GMP development and manufacturing services for advanced biopharmaceuticals, including recombinant viral vectors, next-generation vaccines, challenging recombinant proteins, and oncolytic viruses.


Key Responsibilities:

  • Assist in the development and implementation of administrative procedures while driving improvements across Human Resources and other departments.
  • Review, recommend, and ensure a consistent approach to business processes and procedures that align with organizational policies.
  • Oversee the design, enhancement, and execution of our new hire orientation, integrating talent into the organization and educating the workforce on essential policies, procedures, and benefits.
  • Support the talent management process by providing administrative assistance to the HR Business Partner and Generalist in validating and processing personnel transactions within our HRIS.
  • Manage transactions in HR systems, including gathering necessary information to accurately input new hire, employee movement, and termination transactions.
  • Collaborate with the Talent Acquisition team to ensure that hiring requisitions, offer letter generation, and onboarding of new hires are conducted accurately and efficiently.
  • Contribute to compliance efforts by ensuring that guidelines and policies are consistently applied and enforced in areas such as FMLA, ADA, FLSA, etc.
  • Develop a deep understanding of our policies and procedures to provide informed guidance to employees and HR staff.

Candidate Qualifications:

  • Minimum of 2 years of experience in Human Resources, Talent Acquisition, or Executive Assistance.
  • Exceptional attention to detail and a strong sense of ownership and urgency.
  • Bachelor’s degree (BA/BS), preferably in business-related fields.
  • Ability to maintain focus on tasks amidst changes, challenges, competing priorities, or stressful situations.
  • Experience in facilitating training or learning in large group settings.
  • Familiarity with HR systems such as ADP, WorkDay, or KRONOS is highly preferred.
