Key Responsibilities

Recruitment and Employment

  • Collaborate with the HR Manager and departmental leadership to formulate policies and procedures that align with institutional standards.
  • Manage job postings through the NEXUS system and ensure timely follow-up.
  • Create job requisitions in SuccessFactors and oversee the posting process for potential candidates.
  • Facilitate the onboarding process for new hires, ensuring completion of necessary HR documentation and system access.
  • Provide expert consultation on HR matters including employee relations, compensation, training, and benefits.
  • Maintain accurate electronic personnel files for faculty, staff, and postdoctoral fellows.
  • Support staff reclassifications and merit increase processes.
  • Oversee JHED administration tasks for new hires and current employees.
  • Assist in promoting employee engagement initiatives based on survey results.
  • Coordinate with central HR, Payroll Services, and Benefits Office for all employee-related matters.
  • Evaluate staffing requirements and assist in performance management through the SuccessFactors system.

Payroll Management

  • Initiate all HR/Payroll Internal Service Requests for new hires, salary adjustments, and other personnel changes.
  • Manage payroll submissions for faculty and staff, ensuring compliance with institutional guidelines.
  • Coordinate annual merit review processes and communicate outcomes to management.
  • Collaborate with various offices to ensure accurate documentation for payroll processing.
  • Supervise the payroll process for all transactional submissions.
  • Address payroll discrepancies and assist in managing bonus payment schedules.
  • Ensure compliance with necessary paperwork for new faculty and staff.
  • Perform additional payroll-related duties as required.

Time Management and Compliance

  • Work closely with the HR Manager to uphold policies and legal compliance regarding employee leave and labor laws.
  • Assist in coordinating departmental efforts for staff requiring Family Medical Leave and Short-Term Disability.
  • Serve as a liaison for payroll submissions and compliance reporting.
  • Approve timesheets for temporary staff and manage casual employee time entries.

Credentialing Support

  • Aid in the credentialing process for faculty and fellows, including initial appointments and reappointments.
  • Collaborate with Immigration Services for visa and work authorization processes.
  • Initiate trainee appointments and manage related agreements.
  • Perform additional duties as assigned.

HRIS and Financial Systems Management

  • Monitor employee access and process necessary requests to ensure network and departmental access.
  • Track compliance for health requirements and assist with reimbursement processes.
Minimum Qualifications
  • Bachelor's Degree in Human Resources, Business Administration, or a related field with three years of relevant experience.
  • Additional experience may substitute for educational requirements as per institutional guidelines.

**Preferred Qualifications**

  • Five years of progressive experience in human resources.
  • Familiarity with SAP systems is advantageous.
  • Understanding of the faculty credentialing process is beneficial.
