Position Summary

The Facilities Operations Manager is responsible for overseeing the daily maintenance operations and managing facilities personnel. This role involves monitoring service requests related to facilities and ensuring their completion within set timelines and quality benchmarks. The manager will also schedule and oversee preventative maintenance tasks while ensuring a safe and efficient work environment. Responsibilities extend to managing all aspects of building and grounds maintenance, including mechanical, janitorial, electrical, plumbing, HVAC, safety, and medical waste management across all facilities.

Essential Skills and Experience
  • Minimum of three (3) years in facilities or maintenance roles; or an equivalent combination of experience, training, and education.
  • High School Diploma or GED from an accredited institution is mandatory.
  • Familiarity with facilities planning and construction management processes.
  • Ability to diagnose issues and recommend solutions for basic mechanical systems.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Understanding of Health Safety and OSHA regulations.
  • Strong interpersonal skills to interact effectively with clients, colleagues, vendors, and the public.
  • Excellent command of business English, including spelling and punctuation, alongside strong oral and written communication skills.
  • Ability to work independently, adapt to changing situations, and apply critical thinking and decision-making skills.
  • Knowledge of Joint Commission and Environment of Care standards.
  • Valid Arizona Driver's License and current auto insurance.
  • Valid Level One Fingerprint Clearance Card issued by the Arizona Department of Public Safety for specialty behavioral health locations.
Technical Responsibilities
  • Serve as the primary contact for site administration, contractors, and property management regarding building maintenance, including electrical, plumbing, HVAC, and general upkeep.
  • Coordinate and oversee repairs and general maintenance tasks, including replacing light bulbs and air filters.
  • Assist in managing non-clinical supplies and equipment inventory for all facilities.
  • Review work requests and propose alternatives; visit sites to confirm completed work or assess status.
  • Conduct routine inspections of facilities for deficiencies, safety hazards, and code violations.
  • Recommend specifications for products and equipment based on site assessments.
  • Ensure timely service delivery through consistent communication with vendors and sites.
  • Solicit bids and manage work requests assigned to external vendors, following up on maintenance jobs and open work orders.
  • Complete monthly tracers in line with Joint Commission EOC standards.
  • Collaborate with the facilities manager and technicians to address findings from monthly tracers.
  • Schedule and coordinate work requests, acting as a liaison with requesting departments.
Administrative Duties
  • Maintain documentation files related to facilities management.
  • Organize daily work activities and schedules for technicians, providing coverage as needed.
  • Review and approve timesheets for facilities technicians.
  • Maintain accurate attendance records for technicians.
  • Participate in recruitment, interviewing, orientation, training, and mentoring of staff.
  • Ensure timely updates and completion of all service tickets.
  • Assist in validating work records/orders executed by technicians.
  • Monitor and schedule preventive maintenance activities for facilities.
  • Manage facility door keys and security badge access at assigned sites.
  • Establish best practices for site assessments and work orders.
  • Stay informed about the facilities management industry through trade publications and seminars.
  • Initiate coaching and collaborate with senior management on corrective action issues.
  • Engage with vendors and attend vendor-sponsored events as directed.
Additional Responsibilities
  • Provide support and guidance to facility technicians during regular, on-call, or emergency situations.
  • Travel to multiple company locations as required during regular work hours and weekends.
  • Maintain cleanliness and regular maintenance of assigned company vehicles.
  • Utilize mobile devices for business communications as necessary.
  • Submit purchase receipts in a timely manner.
  • Perform other duties as assigned.
