Administrative Coordinator

We are seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to the general operations of the Administration Office at First Baptist Church South Hill.
Key Responsibilities- Administrative Support: Provide administrative support to the Administration Office, including answering phone calls, responding to correspondence, and maintaining office supplies.
- Calendar Management: Create and maintain the general church calendar, ensuring accuracy and avoiding location conflicts.
- Travel Arrangements: Coordinate and book travel arrangements for staff, leadership, and guests.
- Event Planning: Assist ministry leaders with event planning, including notifying personnel of ministry leaders' and guest speakers' needs.
- Communication: Proofread weekly announcements and constant contacts, and submit criminal background checks for staff and volunteers.
- Wedding Coordination: Review and execute wedding contracts, manage onsite wedding schedules, and ensure proper notification is given to support ministries.
- Certificate Preparation: Prepare marriage, baptism, and baby dedication certificates.
- Condolence Correspondence: Prepare and send condolence correspondence for funerals.
- Inventory Management: Maintain inventory and distribute booklets for new members' orientation, pre & post marital counseling, baptism class, bible study, and discipleship class.
- Financial Management: Collect, verify, and provide receipts for money submitted to the Administration Office, prepare and submit vouchers, and reconcile monthly bank statements.
- Decor and Maintenance: Maintain and update interior decor of the facility, and document and update policies, procedures, and position descriptions.
- Education: Possess an associate degree.
- Experience: Minimum of three years' experience as an Administrative Assistant.
- Skills: Proficient in Microsoft Word, Outlook, PowerPoint, Excel, Adobe Reader, Calendaring, with the ability to learn and adapt to church-specific programs and software.
- Personal Qualities: Strong organizational and interpersonal relational skills, attention to detail, ability to work independently and with a team, ability to manage pressure and conflicting demands, prioritize tasks, and meet deadlines, strong oral and written communication skills, and maintain confidentiality.
