Job Overview

CVHCare is seeking a highly organized and detail-oriented Medical Office Coordinator to join our team. The successful candidate will provide administrative support to our agency team, ensuring seamless communication and coordination of patient care services.

Key Responsibilities:

  • Provide administrative support to the agency team, including uploading patient information, processing provider orders, and coordinating supply disbursement.
  • Answer and coordinate phone calls and messaging, ensuring timely and effective communication with clients and team members.
  • Ensure interdepartmental communications are maintained to support essential agency activities.
  • Process patient referrals in a timely and compliant manner, adhering to policy and regulatory requirements.
  • Establish and maintain positive working relationships with clients and team members, providing exceptional customer service and support.
  • Support the agency in the transition of patients to home care, providing essential documentation and coordinating with multiple service providers.
  • Ensure maximum third-party reimbursement through direct oversight of insurance verification and authorization processes.
  • Provide feedback to the agency, identifying opportunities to improve services and meet customer needs.
  • Maintain comprehensive knowledge of CVHCare's contractual relationships and ensure patients receive services according to contract provisions.
  • Assist referral sources in accessing community resources, ensuring patients receive the necessary support and services.
  • Ensure compliance with State, Federal, and Joint Commission regulations and clients' contract requirements.
  • Perform other duties as assigned to support agency projects and initiatives.

Requirements:

  • Minimum of 2 years' experience in a medical setting, preferably in a patient care or administrative role.
  • Knowledge of MS Office, Google Suite, Internet Explorer, and professional telephone protocol.
  • Basic knowledge of medical terminology is preferred.
  • Able to deliver effective results and meet tight deadlines and targets.
  • Excellent customer service and communication/interpersonal skills.
  • Ability to work with high precision, paying attention to detail to achieve high accuracy levels and timely follow-up and close-out of all matters.
  • Ability to communicate orally and in writing to minimize confusion and additional concerns.
