Job Summary

WSP USA is seeking a highly skilled Senior Coordinator, Administrative Support to join our Northern California team. As a key member of our administrative team, you will provide extensive support to personnel at all levels, ensuring the smooth operation of our offices. Your primary responsibilities will include delivering administrative support, coordinating activities, and maintaining office upkeep. You will also be responsible for general office management, including visitor management, shipping and deliveries, and coordination of safety and compliance programs. Additionally, you will assist with project support, including technical assistance, document control, and records management. Key Responsibilities
  • Provide administrative support to all levels of staff, including coordination of activities and maintenance of office upkeep.
  • Assist with project support, including technical assistance, document control, and records management.
  • Coordinate safety and compliance programs, including maintenance of office standards and visitor guides.
  • Assist with procurement of approved office materials and supplies.
  • Provide assistance for new hire onboarding, including completion of I-9s and collection of IT equipment.
  • Coordinate shipping and deliveries, including incoming and outgoing mail and packages.
  • Assist with financial reports, including spreadsheet consolidation and tracking of data.
  • May be assigned to assist with vehicle fleet program, including tracking of documents and leases.
  • May be assigned to support established Document Processing requests.

Requirements
  • Bachelor's degree in Business Administration or related field.
  • Minimum of 2 years of experience in administrative support or a related field.
  • Excellent communication and organizational skills.
  • Ability to prioritize assignments with minimal supervision.
  • Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint.
  • Knowledge of Oracle and Adobe Professional is preferred.
