Comprehensive Care Center Position Overview

Under general oversight, this role involves coordinating assigned staff responsibilities and managing the distribution of personnel resources within the clinic to ensure smooth patient flow. Proficient in all facets of front office clinic operations, including but not limited to: outpatient registration, patient scheduling, clinic schedule template creation and maintenance, cash management, quality assurance including regular feedback, insurance verification, and staff training. Provides recommendations for re-training and oversees the onboarding of new employees. Collaborates effectively with other department leaders, supervisors, and managers to maintain continuous clinic operations by monitoring daily schedules and registration processes. The Patient Access Lead will be present in clinics that meet the criteria for Nurse Manager and Charge Nurse leadership.

Key Responsibilities:
  • Offers Administrative Support for the clinic, including time and attendance management, help desk inquiries, and other assigned tasks (10%)
  • Registers and schedules patients, actively monitoring and managing clinic-specific Work Queues (10%)
  • Conducts Quality Control and Assurance - performs weekly and monthly audits to ensure compliance with standards set by the organization. Trains and assists staff to achieve quality assurance objectives (5%)
  • Manages cash handling responsibilities, including preparing daily cash deposits, processing refunds, training clerical staff on cash deposit procedures, and addressing discrepancies as necessary (5%)
  • Assigns tasks and oversees workflow, tracking daily assignments for employees (5%)
  • Provides coverage in clinic registration areas during staff shortages due to leave (5%)
  • Handles telephone inquiries; screens calls, routes them appropriately, and takes messages (5%)
  • Participates in monthly Front End operations meetings; attends regularly scheduled departmental and leadership meetings, huddles, and one-on-ones with supervisors/managers, ensuring timely communication of information to the clerical team (5%)
  • Orders and maintains inventory levels for office supplies, encounter forms, and other necessary materials (5%)
  • Performs template maintenance: requests for new provider templates, schedule creation, and modifications (5%)
  • Addresses customer service concerns and maintains a high standard of service among clerical staff at all times (5%)
  • Collaborates with the Clerical Supervisor to foster positive interpersonal relationships with colleagues, physicians, patients, and visitors, treating all individuals with courtesy, dignity, empathy, and respect (5%)
  • Works with the Clerical Supervisor to establish clear performance expectations for staff, developing job-specific customer service standards and communicating these to each employee (5%)
  • Assists the Clerical Supervisor in evaluating ongoing staff competency and identifying training needs, ensuring appropriate training is provided (5%)
  • Initiates team-building activities to promote departmental cohesion and collaboration (5%)
  • Recognizes and appreciates positive contributions and behaviors within the organization (5%)
  • Identifies and escalates system issues, environmental concerns, and employee matters to the clerical supervisor and clinic leadership as appropriate (5%)
Qualifications:
  • No High School Diploma and/or No GED
Experience:
  • 1-3 years of clerical experience required.
Skills and Competencies:
  • Exceptional interpersonal communication and telephone skills are essential.
  • Strong analytical skills, critical thinking, and problem-solving abilities with a focus on customer service.
  • Ability to collaborate with a diverse team and serve a varied customer base, explaining procedures and organizational policies in a healthcare environment.
  • Availability to work 40 hours per week with flexibility to meet clinic needs.
  • Proficient in Windows XP.
  • Bi-lingual skills are preferred.
