Position Summary
The CLS Program, supported by the U.S. Department of State, offers an immersive overseas language and cultural experience for American students enrolled in U.S. colleges and universities. Participants engage in an eight-week program focused on one of thirteen critical languages, combining rigorous language instruction with structured cultural activities aimed at fostering significant language acquisition. The CLS Program also includes the CLS Spark initiative, which provides beginner-level virtual language instruction for Arabic, Chinese, Korean, Japanese, and Russian to selected U.S. undergraduate students from institutions that do not offer these languages. CLS scholars are encouraged to continue their language studies post-scholarship and leverage their language skills in their future careers. The program emphasizes diversity and inclusion, ensuring that the next generation of global leaders reflects America's multifaceted society.
The Program Officer will report to the CLS Program Manager and will oversee program management and logistics, maintaining communication with participants and partner institutions in India and Indonesia that facilitate immersion language programs for Hindi, Indonesian, and Urdu. This role includes remote management of a team of Resident Directors and collaboration with regional Program Officers to evaluate program effectiveness and implement enhancements across various program sites. The Program Officer will also engage in recruitment efforts and oversee selection panels during the application process, in coordination with the broader CLS team.
This position demands meticulous attention to detail, the ability to juggle multiple responsibilities, and effective communication with diverse stakeholders. While strong organizational skills and administrative experience are advantageous, a comprehensive understanding of academic culture related to study abroad programs is equally important. Some travel may be required.
Key Responsibilities
- Support the administration of institutional partner agreements and financial plans;
- Collaborate with international partners on program elements;
- Assist in drafting reports and grant proposals for funding bodies;
- Address participant inquiries and requests;
- Oversee visa processing procedures;
- Prepare and disseminate program materials and handbooks;
- Organize and facilitate pre-departure orientations for outgoing groups;
- Coordinate the recruitment of short-term Resident Director staff;
- Provide guidance and training to on-site Resident Directors;
- Manage weekly conference calls with Resident Directors and maintain necessary email correspondence;
- Arrange travel and logistics for outbound groups;
- Be available during the summer to respond to emergencies, which may require limited unscheduled hours;
- Contribute to team initiatives for the development and revision of program materials regularly;
- Maintain relationships with language education professionals and networks;
- Process financial requests, prepare invoices, and track program expenditures;
- Assist in recruitment, outreach, and selection processes;
- Facilitate ongoing communication with program alumni;
- Assist in organizing professional development activities such as teacher-training workshops;
- Perform additional duties as assigned.
Required Skills
- Excellent written and verbal communication skills in English;
- Experience in study abroad, international education, or federally funded cultural exchange programs, or familiarity with second language acquisition;
- Proficiency in data management and spreadsheet applications;
- Strong organizational skills and attention to detail;
- Demonstrated problem-solving abilities;
- Capability to manage multiple priorities efficiently;
- Ability to work independently while contributing to team objectives;
- Proven effectiveness in a cross-cultural work environment;
- Strong interpersonal skills.
- Bachelor's degree is preferred but not mandatory;
- Proficiency in Hindi, Indonesian, or Urdu is preferred but not mandatory;
- Experience in mentoring or advising students is preferred;
- Supervisory experience is preferred;
- Familiarity with the American higher education system;
- Experience utilizing social media for professional purposes;
- Proficient in Microsoft Office applications, particularly Word, PowerPoint, Outlook, and Excel.
