Position Summary

The CLS Program, under the auspices of the U.S. Department of State, offers an immersive overseas language and cultural experience for American students enrolled in U.S. higher education institutions. Participants engage in an eight-week program focusing on one of thirteen critical languages, which includes rigorous language training and structured cultural activities aimed at facilitating rapid language acquisition. Additionally, through the CLS Spark initiative, beginner-level virtual instruction is provided for languages such as Arabic, Chinese, Korean, Japanese, and Russian for selected U.S. undergraduate students whose home institutions do not offer these languages. CLS scholars are encouraged to pursue further language studies beyond the scholarship and leverage their language skills in their future professional endeavors. The CLS Program is committed to fostering diversity and inclusion, ensuring that the future leaders of America reflect the nation’s rich diversity.

The Program Officer role is accountable to the CLS Program Manager and involves overseeing program administration and logistics, as well as liaising with program participants and partner institutions in India and Indonesia that facilitate immersion language programs for Hindi, Indonesian, and Urdu. The Program Officer will manage a team of Resident Directors remotely and collaborate with regional Program Officers to evaluate program outcomes and implement enhancements across various program sites. The role also encompasses participation in recruitment activities and oversight of selection panels during the application process, in conjunction with the broader CLS team.

The ideal candidate will exhibit meticulous attention to detail, the capacity to juggle multiple responsibilities independently, and a willingness to engage with diverse groups. While organizational capabilities and administrative experience are advantageous, a comprehensive understanding of academic culture in study abroad contexts is equally essential. Some travel may be required.

Key Responsibilities
  • Assist in managing institutional partner agreements and budgets;
  • Coordinate with international partners regarding program elements;
  • Support the drafting and preparation of reports and grant proposals for funding bodies;
  • Address participant inquiries and requests;
  • Oversee visa processing;
  • Prepare and disseminate program materials and handbooks;
  • Organize and engage in pre-departure orientations for outbound groups;
  • Coordinate the recruitment of short-term Resident Director staff;
  • Advise and train on-site Resident Directors;
  • Facilitate weekly conference calls with on-site Resident Directors and maintain regular email communication;
  • Arrange travel and logistics for outbound groups;
  • Be available during the summer to respond to emergencies, which may involve limited unscheduled hours;
  • Contribute to team projects aimed at developing and revising program materials regularly;
  • Maintain connections with language education professionals and networks;
  • Process financial requests, prepare invoices, and monitor program expenditures;
  • Assist in program recruitment, outreach, and selection initiatives;
  • Foster ongoing communication with program alumni;
  • Support the organization of teacher-training workshops and other professional development events;
  • Perform additional duties as assigned.
Qualifications

Required
  • Excellent written and verbal communication skills in English;
  • Experience in study abroad, international education, federally funded cultural exchange programs, or familiarity with second language acquisition;
  • Proficiency in data management and spreadsheet applications;
  • Strong organizational skills and attention to detail;
  • Demonstrated problem-solving abilities;
  • Capability to manage multiple priorities efficiently;
  • Ability to work autonomously while contributing to team objectives;
  • Proven effectiveness in a multicultural work environment;
  • Strong interpersonal skills.
Preferred
  • Bachelor's degree preferred, but not mandatory;
  • Proficiency in Hindi, Indonesian, or Urdu preferred, but not mandatory;
  • Experience in mentoring or advising students preferred;
  • Supervisory experience preferred;
  • Familiarity with the American higher education system;
  • Experience utilizing social media for professional purposes;
  • Proficient in Microsoft Office applications, particularly Word, PowerPoint, Outlook, and Excel.
