Position Overview

The Administrative Operations Manager is responsible for overseeing and directing the activities of the Administrative Support team. This role involves a comprehensive analysis of processes and procedures within the department to evaluate efficiency, forecast costs, and assist upper management in identifying future operational needs.

Key Responsibilities
  • Supervise and manage the Administrative Support personnel, ensuring optimal performance and productivity.
  • Conduct thorough evaluations of departmental processes to assess resource utilization and cost-effectiveness.
  • Oversee fleet management operations, providing essential training for both new and existing staff, while ensuring compliance with state and departmental policies.
  • Maintain accurate records of vehicle mileage and maintenance, analyze vehicle usage, and coordinate requests for new vehicles or the disposal of outdated ones.
  • Manage accident and insurance reporting, including coordination of claims, repairs, police documentation, and vendor payments.
  • Act as the Department's Safety Coordinator, ensuring that safety policies are current, staff are trained on safety protocols, and incidents are investigated to prevent recurrence.
  • Serve as the Emergency Coordinator for the Department, responsible for training staff on emergency procedures and maintaining the emergency reference guide.
  • Oversee departmental records management, collaborating with the Records Manager to ensure compliance with retention schedules and policies.
  • Manage the facilities for both Atlanta and regional offices, coordinating repairs and overseeing equipment and furniture logistics.
  • Assist in the procurement process by preparing requisitions and purchase orders, and performing additional duties as assigned by management.
Educational Qualifications
  • A Bachelor's degree in Business Administration, Public Administration, or a related discipline is required.
Professional Experience
  • A minimum of 5 years of progressively responsible experience in office services, fleet management, or administrative leadership, preferably within a governmental context.
  • In-depth knowledge of best practices in building management, fleet operations, records management, and procurement.
  • Proven ability to develop effective policies and procedures, along with experience in employee training and development.
  • Demonstrated leadership skills with experience in supervising teams.
  • Intermediate proficiency in Microsoft Office Suite and other relevant software applications.
