Cargo Coordination Executive E/S or E/J

As a key player in our logistics team, you will ensure the seamless transportation of customer cargo to its intended destination without delays or complications.
Essential Functions
- Receive and process cargo orders from clients.
- Engage with airlines to negotiate space and pricing.
- Provide clients with booking confirmations and respond to inquiries.
- Understand the specifications of the products being handled, including temperature requirements and other essential conditions.
- Ensure that cargo is delivered according to customer specifications, including timing and quantity.
- Manage time effectively by being aware of airline cut-off times and planning accordingly.
- Prepare accurate documentation such as Air Waybills (AWBs), Phytosanitary certificates, and Import/Export declarations, while minimizing errors.
- Transport cargo to and from airlines and customs using company vehicles.
- Build and maintain relationships with clients through regular visits and responsiveness to their requests.
- Track cargo post-tendering to confirm departure and check connections as necessary.
- Report any irregularities to supervisors promptly and propose solutions.
- Complete and send out invoices and associated documentation promptly.
- Maintain open lines of communication with customers, vendors, and office staff.
- Engage in daily communications with U.S. Customs, USDA, and other regulatory agencies.
- Stay informed about and comply with various regulations, including TSA, IATA, and AES.
Responsibilities
- Address customer needs and complaints, providing effective solutions within established timeframes.
- Implement safety measures to maintain a secure working environment.
- Collaborate with team members, offering support beyond assigned duties as necessary.
Skills / Qualifications
- Punctual attendance and the ability to be present when and where needed.
- Strong communication skills for effective interaction with customers, vendors, and colleagues.
- Basic math skills with a focus on accuracy.
- Ability to follow through on tasks and exceed expectations.
- Responsiveness to instructions from supervisors and the ability to seek guidance when needed.
- Flexibility and strong problem-solving capabilities.
- Capacity to improve situations when challenges arise.
- Possession of a valid ID for TSA compliance.
Position Type / Expected Hours of Work
This is a full-time, non-exempt role. Typical working hours are Monday through Friday, 9:00 a.m. to 6:00 p.m., but may vary based on shipment schedules, requiring flexibility for early mornings, late evenings, weekends, and holidays as necessary.
