Immigration Client Services Coordinator

We are seeking a dedicated Client Engagement Specialist with a focus on immigration law to enhance our legal team. The ideal candidate will be a trustworthy and organized individual who excels in interpersonal interactions. Upholding discretion and integrity is essential in this role. The successful applicant will demonstrate a strong customer service orientation and possess meticulous attention to detail, enabling them to effectively screen incoming client inquiries.

This position involves:

  • Thoroughly screening calls prior to scheduling consultations with attorneys.
  • Proactively managing all inquiries from potential clients via various channels (email, phone, referrals).
  • Establishing rapport with potential clients through immediate outreach.
  • Consistently following up on pending inquiries to ensure timely communication.
  • Maintaining accurate logs and reporting systems to track the status of potential clients.
  • Conducting empathetic interviews with prospective clients.
  • Coordinating appointment schedules for new clients.
  • Documenting detailed notes during initial consultations.
  • Collaborating with attorneys to facilitate the consultation process.
  • Assisting legal professionals with administrative tasks related to case management.
  • Adhering to instructions from supervising attorneys and executing tasks accordingly.
  • Performing various administrative duties including writing correspondence, transcribing notes, and managing legal documents.

Qualifications:

  • Bilingual proficiency in English and Spanish, both written and verbal.
  • A minimum of two years of intake experience, preferably in immigration.
  • Familiarity with case management software is advantageous.
  • Professional demeanor and appearance.
  • Strong written and verbal communication skills.
  • Resourcefulness and proactivity in addressing challenges.
  • Exceptional organizational abilities.
  • Effective multitasking and time management skills, with the capacity to prioritize tasks efficiently.
  • A customer-focused attitude.
