Immigration Client Services Coordinator

We are seeking a dedicated Client Intake Specialist (Immigration) to enhance our legal practice. The ideal candidate will be a reliable, organized individual who excels in interpersonal interactions. Upholding confidentiality and integrity is paramount in this role. The successful applicant will demonstrate a strong customer service orientation, exceptional attention to detail, and the ability to effectively assess incoming client inquiries. This position is crucial for managing a high volume of client communications. Previous experience in Immigration law is highly desirable.

Key Responsibilities:
  • Conduct thorough screening of incoming calls prior to scheduling consultations with attorneys.
  • Proactively track all potential client inquiries via various channels (email, internet, phone, and referrals).
  • Engage with potential clients promptly to build rapport and trust.
  • Maintain consistent follow-up with pending inquiries to ensure client needs are met.
  • Update and manage logs and reporting systems to reflect the status of potential clients.
  • Conduct empathetic and compassionate interviews with prospective clients.
  • Schedule appointments for potential clients efficiently.
  • Document accurate notes during initial consultations with attorneys and clients.
  • Collaborate with attorneys to facilitate the initial consultation process.
  • Assist legal professionals with administrative tasks related to case management and database maintenance.
  • Follow directives from supervising attorneys and execute tasks accordingly.
  • Perform various administrative duties, including writing correspondence, transcribing notes, researching legal documents, and creating spreadsheets.
Qualifications:
  • Bilingual proficiency in English and Spanish, both written and verbal.
  • A minimum of 2 years of intake experience, preferably in Immigration.
  • Familiarity with case management software is a significant advantage.
  • Professional demeanor and appearance.
  • Strong written and verbal communication skills.
  • Resourceful and proactive in addressing challenges.
  • Excellent organizational capabilities.
  • Ability to multitask and manage time effectively, prioritizing tasks as needed.
  • Customer service-focused attitude.
