Title: Commercial Loan Operations Coordinator

Department: Commercial Lending

Reports to: Director of Commercial Lending

FLSA Status: Non-Exempt

Job Grade: 9

Objective: To deliver exceptional service to the Credit Union by managing the documentation process for commercial loans, ensuring adherence to all relevant laws and regulations.

Key Responsibilities

Specific Duties:

  1. Oversee the commercial loan processing from application through to closing, which includes:
  • Collaborating with external vendors to gather necessary documentation such as title reports, appraisals, and flood determinations.
  • Verifying that appropriate hazard and flood insurance coverage is in place.
  • Coordinating with Commercial Relationship Officers and members to address any incomplete documentation or missing items.
  • Preparing loan documents and ensuring the loan file is complete and accurate prior to member closing.
  • Confirming that loan documents align with the loan approval.
  • Working with the Commercial Relationship Officer and legal counsel (if needed) to schedule closings and ensure timely submission of all required paperwork.
  • Ensuring proper funding of loan proceeds and collaborating with Lending Support to protect the Credit Union's security interest and ensure all documents are recorded as required.
Review and document third-party paperwork for accuracy, addressing any outstanding issues with the vendors. This includes ensuring the Credit Union's lien position is secure through thorough title work review and assessing the adequacy of appraisals. Additionally, responsible for ensuring timely payment of vendor fees. Provide regular updates and reports on all commercial loan activities, including both internal and participation loans. Stay current with business lending procedures and processes to ensure outstanding service delivery to borrowers. Prepare loan files for imaging and auditing post-closing.

General Responsibilities:

  1. Maintain confidentiality of member and employee information, sharing only on a need-to-know basis.
  2. Engage in problem resolution by understanding member and employee complaints, identifying causes, and providing effective solutions while keeping supervisors informed.
  3. Adhere to Credit Union policies and procedures, ensuring compliance with established internal protocols.
  4. Comply with all federal, state, and local regulations and legal requirements.
  5. Enhance professional knowledge by staying informed about industry trends, attending relevant seminars, and reviewing professional publications.
  6. Contribute to team objectives by achieving both corporate and individual goals.

Qualifications

Minimum Requirements:

  • Two to four years of relevant experience.
  • Associate Degree or equivalent experience.
  • Proficiency in ten-key calculator, general PC usage, and keyboarding skills.
  • Strong communication skills for both individual and group interactions.
  • Ability to motivate and build relationships while maintaining professionalism.
  • Strong attention to detail and ability to work under pressure with strict deadlines.
  • Ability to analyze problems, collect data, and draw conclusions.
  • Capability to write reports and develop policies and procedures.
  • Self-motivated and able to work independently.

Physical Demands:

The physical requirements for this position include regular sitting and standing, using hands for various tasks, and occasionally lifting up to 25 pounds. Vision requirements include close, distance, and peripheral vision.

Work Environment:

This role is primarily based in a climate-controlled office environment, with moderate noise levels. Occasional travel may be required for offsite property inspections, which may involve outdoor work in varying conditions.

Mental Demands:

Successful performance in this role requires good judgment, auditory perception, memory, and reasoning abilities.
