Job Description
The Administrative Assistant plays a vital role in ensuring the day-to-day operations of our office run smoothly. Reporting to the Chief Financial Officer/Business Manager, this position is responsible for providing administrative support to ensure efficient office operations.
Duties
This role includes but is not limited to:
- Providing administrative support to ensure efficient office operations;
- Maintaining physical and digital files;
- Answering telephone calls and routing them to appropriate personnel;
- Monitoring emails and routing them to relevant staff members;
- Assisting in processing payroll and paying invoices;
- Managing the collection of fines and penalties from political committees and candidates;
- Inputting and updating information in databases and spreadsheets;
- Preparing agendas and coordinating meeting logistics;
- Operating and maintaining office equipment;
- Serving as backup for various positions during staff absences;
- Acting as a point of contact for local election officials for reporting forms and processing referrals;
Estimated Salary Range: $45,000 - $60,000 per year
Required Skills and Qualifications
To be successful in this role, you will need:
- A strong understanding of statutes and regulations governing the operation of an independent agency;
- Excellent analytical, problem-solving, organizational, and communication skills;
- Proficiency in database, accounting computer application systems, Microsoft Word, Excel, and Outlook;
- A working knowledge of MMARS and HR/CMS as those programs are modified;
- A BA/BS or professional experience in Business Administration or a related field;
- At least 3 to 5 years of full-time or equivalent part-time professional experience in a related field;
- Or any equivalent combination of education, training, certification, and experience.
