Position Overview:
We are in search of a committed and professional individual to fulfill the role of Front Desk Coordinator at our Uptown clinic. This essential position involves ensuring a welcoming and efficient experience for our patients and visitors. The ideal candidate will demonstrate exceptional communication abilities, meticulous attention to detail, and a strong dedication to outstanding customer service.

Key Responsibilities:

  1. Patient and Visitor Engagement:
    • Greet patients and visitors warmly, providing assistance as required.
    • Utilize communication systems to facilitate interactions among staff and ensure timely patient engagement.
    • Screen solicitors courteously, ensuring relevance to organizational needs.
  2. Financial Responsibilities:
    • Clarify financial obligations to patients or responsible parties, collecting co-pays and balances as necessary.
  3. Scheduling and Record Keeping:
    • Prepare physicians' schedules and patient charts in advance.
    • Communicate daily scheduling updates to clinical staff.
    • Register and maintain patients' personal information accurately.
  4. Appointment Coordination:
    • Enhance patient satisfaction and optimize provider time by managing appointment scheduling in person or via phone.
    • Ensure patient appointments remain on schedule by notifying providers of arrivals and addressing any service delays.
  5. Record Management:
    • Maintain the availability of treatment information by filing and retrieving patient records efficiently.
  6. Administrative Functions:
    • Manage patient accounts by obtaining, recording, and updating personal and financial details.
    • Adhere to policies and procedures, reporting necessary changes.
    • Contribute to team objectives by achieving related results and demonstrating flexibility.
    • Uphold confidentiality and privacy protocols in accordance with clinic policies and HIPAA regulations.
  7. Customer Service Excellence:
    • Apply customer service principles to interact with patients in a calm and pleasant manner.
  8. Cross-Training Opportunities:
    • Participate in cross-training for various clinic duties.
  9. Qualifications:
    • High school diploma or equivalent; some college education preferred.
    • Two or more years of experience in customer service or reception, ideally within a healthcare setting.
