Position Overview

The Administrative Coordinator plays a vital role in ensuring the smooth operation of the organization by managing essential administrative tasks that support the Tennessee REALTORS®. This position is accountable to the Executive and Professional Services Director and the Chief Executive Officer.

Key Responsibilities:

  • Provide assistance to the CEO as needed.
  • Support the Executive and Professional Services Director with various assignments.
  • Handle administrative tasks such as drafting memos, preparing correspondence, photocopying, faxing, and managing mailings.
  • Assist Department Heads during committee meetings by taking minutes and preparing meeting materials.
  • Conduct word processing, data entry, and research tasks across departments.
  • Facilitate effective communication between the executive office and internal teams, ensuring credibility and trust with senior management.
  • Maintain confidentiality and discretion in all member interactions.
  • Offer backup support for front desk operations, including answering calls and addressing member inquiries.
  • Welcome members and visitors with a positive demeanor.
  • Collaborate with the Events Manager on in-house and external events, including setup, vendor relations, and event support.
  • Assist the Finance Director with accounting tasks, including ledger postings, account reconciliations, and processing payments.
  • Engage with volunteers and members regarding invoices and refunds.
  • Organize and maintain files and documents, ensuring accurate record-keeping.
  • Ensure the office is secured at the end of the day.
  • Help maintain a tidy workspace and ensure adequate supplies for office equipment.
  • Occasionally transport mail to the post office.
  • Work independently and collaboratively on special projects as assigned.
  • Perform additional duties as requested by the Chief Executive Officer, Executive and Professional Services Director, and Finance Director.

Required Qualifications:

  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Proficient in computer applications, particularly Microsoft Office and data management software; Mac experience is highly preferred.
  • Familiarity with the operations of a volunteer organization.
  • Excellent project management capabilities.
  • Creative problem-solving skills and the ability to work well with diverse individuals.
  • Strong communication skills, both verbal and written, with the ability to engage positively with members and colleagues.
  • Self-motivated with strong initiative and time management skills.
  • Ability to handle confidential information responsibly.
  • Contribute positively to a team environment and demonstrate teamwork.
  • Attention to detail in producing professional documents with minimal errors.
  • Ability to work efficiently under pressure and manage member requests effectively.
  • Customer service-oriented with a focus on enhancing member experiences.
  • Proficient in using various office equipment, including calculators and photocopiers.

Additional Skills:

  • Experience with QuickBooks Online is essential.
  • Ability to lift 20 to 40 pounds as required.

Preferred Qualifications:

  • A college degree in a related field is preferred.
  • Prior experience in administrative support is advantageous.
  • Two or more years of relevant experience is preferred, with REALTOR Association experience being a plus.

Work Schedule:

  • Standard hours are 8:30 a.m. to 4:30 p.m., Monday through Friday (in-office).
