Role Overview:

The Office Support Specialist will play a crucial role in providing comprehensive administrative assistance to ensure the smooth operation of our office environment.

Key Responsibilities:

  1. Deliver administrative support, including the creation of reports, forms, and handling tasks related to procurement requests, travel arrangements, and expense documentation.
  2. Manage and fulfill printing requests efficiently.
  3. Draft and prepare contractual documents, including service scopes and financial plans. Collaborate with partner organizations on budget formulation.
  4. Oversee invoice processing to guarantee prompt payments to vendors; maintain detailed Excel spreadsheets for invoice tracking.
  5. Perform various administrative functions such as typing, document processing, and general office assistance.
  6. Assist in scheduling, organizing, and planning activities; procure supplies, and manage travel claims and invoices.
  7. Support the organization of training sessions and events by aiding in the development of materials, liaising with trainers, coordinating venues, and preparing training resources.
  8. Provide assistance to the Program Director, ensuring the maintenance and updates of SharePoint, H: Drive, and other designated databases.
  9. Respond to inquiries in the designated program inbox.
  10. Ensure compliance with public health regulations, policies, and legal documentation in all administrative processes.
  11. Monitor grant budgets and expenditures for sub-recipients.
  12. Assist in reviewing budget and funding modifications for sub-recipients.

Essential Skills:

  • Excellent verbal and written communication skills.
  • Detail-oriented and highly organized, with the ability to work autonomously with minimal oversight.
  • Proficient in collaborating and communicating effectively with colleagues, supervisors, and external agency personnel.
  • Strong working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, SharePoint, Outlook, etc.).

Qualifications:

Associate's degree along with experience equivalent to one year of progressively responsible full-time professional administrative experience.
