Position Title: Program Operations Supervisor I

Department: TTC College

Reports To: Chief Academic Officer

POSITION SUMMARY

The Program Operations Supervisor I is accountable for the comprehensive daily management of designated personnel and the operational activities at TTC College. This role entails supervising staff and ensuring adherence to the policies and procedures of both TTC College and Tarzana Treatment Centers, Inc. The individual will embody and implement the treatment and educational philosophies of the organization. Proven experience in managing and leading a substantial team is essential. This position will guide a cohort of healthcare education professionals while ensuring compliance with all organizational policies and standards.

SALARY RANGE

$43.50 / per hour DOE

WORK SCHEDULE

8 hours per day / 5 Days per Week / Salary

KEY RESPONSIBILITIES
  1. Oversee recruitment, supervision, performance evaluations, and disciplinary actions for TTC College supervisors as directed by the Chief Academic Officer. This may include various roles such as counselors, case managers, outreach workers, and administrative staff.
  2. Ensure the safety of staff and patients through effective management of facility maintenance.
  3. Conduct regular audits of records and documentation to guarantee compliance with applicable TTC policies and external regulations.
  4. Assist in the preparation and submission of various reports, including Continuous Quality Assurance and performance improvement reports.
  5. Expand the network of referral resources through proactive outreach and networking initiatives.
  6. Participate in training sessions and educational workshops.
  7. Attend all mandatory staff meetings.
  8. Maintain open communication with colleagues regarding patient and staff behaviors and progress.
  9. Exemplify professionalism in conduct, attire, and communication, serving as a role model for staff and patients.
  10. Demonstrate thorough understanding and support of the Agency's philosophy and objectives.
  11. Adhere to professional ethics, maintaining appropriate boundaries and confidentiality.
  12. Document services rendered in medical records as required.
  13. Engage in record reviews and utilization review activities as needed.
  14. Stay informed about current legal standards related to professional practice.
  15. Conduct performance evaluations for interns and other staff as necessary.
  16. Participate in clinical and administrative committee meetings as requested.
  17. Represent TTC at community events and outreach activities.
  18. Perform additional duties as assigned by the Program Director or Administrator.
STAFF SUPERVISION
  • Orient new employees.
  • Manage compliance through chart audits and feedback.
  • Provide ongoing support to staff.
  • Assist in the hiring and disciplinary processes.
  • Oversee scheduling and time-off requests.
ADMINISTRATIVE DUTIES
  • Participate in agency-wide committees as assigned.
  • Attend required staff meetings and training sessions.
  • Support the management team in resolving issues.
ADDITIONAL RESPONSIBILITIES
  • Be available for urgent matters on a 24-hour basis.
  • Collaborate with staff to ensure adherence to organizational goals.
  • Provide crisis management support as needed.
EDUCATION AND EXPERIENCE REQUIREMENTS
  • Supervision of approximately 1 to 5 employees.
  • Master's Degree in Management, Educational Leadership, Healthcare Leadership, or a related field is required.
  • Academic Counseling Certificate.
  • A minimum of 5 years of supervisory experience is required.
