Position Overview

The Marine Personnel Coordinator is accountable for the secure staffing of SubCom, LLC mariners on board vessels. This role involves maintaining mariner documentation, planning crew assignments, and ensuring compliance with all necessary visas and permits. Marine Personnel Coordinators collaborate closely with Fleet Operations to identify crew change opportunities and facilitate the transition of mariners aboard vessels.

Key Responsibilities

  • Maintain an up-to-date database of marine personnel, including the SIU Fleetwide Manpower Pool and SCANMAR Fleetwide Manpower Pool, to ensure vessels are adequately resourced and crewed.
  • Ensure vessels are staffed with the appropriate crew in accordance with the SubCom Manning Scale.
  • Foster collaborative relationships with vessel leadership, team members, and other functional teams within SubCom to achieve operational goals.
  • Work alongside the Senior Manager of Marine Personnel to assign suitable relief crew to vessels.
  • Be available outside of regular hours to address urgent vessel needs, emergencies, and travel issues.
  • Effectively manage crew changes by coordinating with the Master on timing, location, and spacing of arrivals.
  • Serve as a Subject Matter Expert (SME) on Collective Bargaining Agreements with unions.
  • Act as an SME on U.S. Coast Guard and Marshall Islands requirements.
  • Become an authorized filing agent for the Republic of Marshall Islands and manage the application for necessary documents.
  • Facilitate the onboarding process for mariners by organizing medical examinations, reviewing documentation, and arranging visas, vaccinations, and other company requirements prior to joining vessels.
  • Provide clear and professional joining instructions and guidelines to mariners.
  • Serve as an SME on the ship office manual, marine personnel policies, and practices.
  • Ensure that all marine personnel files are organized, current, and fully compliant.
  • Identify situations where visas are necessary for project work and take initiative to apply for and secure documentation.
  • Coordinate travel arrangements for joining mariners to vessels, ensuring crew transitions do not hinder vessel operations.
  • Support or develop new initiatives aimed at enhancing efficiency and productivity within Marine Personnel.
  • Participate in meetings with the Operations Manager, Senior Marine Personnel Manager, and other team members.
  • Complete additional tasks as assigned that may not be explicitly outlined in this job description.

Qualifications

  • A minimum of 5 years of relevant experience.
  • A bachelor's degree is required, preferably in Business, Finance, or Accounting; an MBA is ideal.
  • Ability to multitask and excel in fast-paced, dynamic operational environments.
  • Exceptional attention to detail is essential.
  • Strong interpersonal, verbal and written communication, presentation, and planning skills.
  • Demonstrated organizational skills with a focus on standardization and efficiency; process-oriented.
  • Ability to work effectively in a team environment.
  • Proficient in computer and administrative skills, including MS Office applications (Word, Excel, PowerPoint) and Adobe Acrobat.
  • Comfortable working in a multicultural environment and willing to work flexible hours as required.
  • Strong analytical and problem-solving abilities.
  • Must possess or be eligible to apply for security clearance.
  • A valid TWIC is required.
