Position Summary:

RapidFire Safety & Security LLC is on the lookout for a meticulous and proactive Office Administrator. This role is essential for ensuring the seamless execution of daily administrative functions, contributing to the overall efficiency of our operations.

Key Responsibilities:

Administrative Duties:

  • Organize and maintain office documentation and records.
  • Manage incoming and outgoing correspondence.
  • Draft and refine reports, presentations, and other communications.
  • Coordinate meetings, appointments, and travel logistics for personnel.

Office Management:

  • Oversee the organization and upkeep of the office environment.
  • Manage procurement and inventory of office supplies.
  • Liaise with service providers for maintenance and repair needs.
  • Establish and uphold office policies and procedures.

Communication Responsibilities:

  • Act as the primary contact for both internal and external communications.
  • Direct phone calls and emails to the appropriate team members.
  • Welcome and assist visitors in a courteous and professional manner.
Qualifications:

Required:

  • High school diploma or equivalent; higher education preferred.
  • Demonstrated experience in an administrative role.
  • Proficiency in Microsoft Office Suite and office management tools.
  • Exceptional organizational and time management abilities.
  • Strong verbal and written communication skills.
  • Capacity to manage multiple tasks and prioritize effectively.
  • Attention to detail and adept problem-solving skills.
  • Ability to work autonomously and collaboratively.

Preferred:

  • Familiarity with basic accounting principles.
  • Understanding of human resources practices.
  • Experience with project management software.
