Position Title: Office Administrator
Employment Type: Full-time, Hourly
Salary Range: $20.00-$24.00 per hour
Position Summary:RapidFire Safety & Security LLC is on the lookout for a meticulous and proactive Office Administrator. This role is essential for overseeing daily administrative functions, ensuring efficient office operations, and providing support to our team in delivering exceptional safety and security services. The successful candidate will possess strong organizational skills, excellent communication abilities, and the capacity to manage multiple tasks in a dynamic environment.
Key Responsibilities:Administrative Duties:
- Organize and maintain office documentation and records.
- Manage incoming and outgoing correspondence and packages.
- Draft and refine communications, reports, and presentations.
- Coordinate meetings, appointments, and travel logistics for staff.
Office Management:
- Ensure the office environment is orderly, well-equipped, and maintained.
- Oversee the procurement and management of office supplies.
- Collaborate with vendors for office maintenance and repairs.
- Establish and uphold office policies and procedures.
Communication Responsibilities:
- Act as the primary contact for internal and external communications.
- Direct phone calls and emails to the appropriate personnel.
- Welcome and assist visitors in a courteous and professional manner.
- High school diploma or equivalent; Associate's or Bachelor's degree is preferred.
- Demonstrated experience in an office administration or management role.
- Proficient in MS Office Suite (Word, Excel, PowerPoint) and office management tools.
- Exceptional organizational and time management capabilities.
- Strong verbal and written communication skills.
- Ability to prioritize tasks and manage multiple responsibilities effectively.
- Attention to detail and strong problem-solving abilities.
- Capacity to work independently as well as collaboratively.
- Familiarity with basic bookkeeping and accounting practices.
- Understanding of HR procedures and policies.
- Experience with project management software and tools.
- Ability to handle sensitive information with confidentiality.
- Background in the safety and security sector is advantageous.
