Job Summary

We are seeking a highly skilled Medical Office Coordinator to join our team. The successful candidate will be responsible for providing administrative support to our healthcare professionals, ensuring seamless patient flow, and maintaining accurate records.

Key Responsibilities

  • Telephone Management
    • Answer and screen all incoming calls in a professional manner.
    • Document messages and process them accordingly.
  • Scheduling and Coordination
    • Accommodate patient appointments and maintain the provider's schedule.
    • Update patient demographics and insurance information.
  • Insurance and Billing
    • Verify insurance eligibility and enter correct information.
    • Post co-pays and payments, and balance batches.
  • Patient Communication
    • Inform patients of their responsibility regarding confirmation of insurance coverage and referrals.
    • Communicate physician/provider delays to patients.
  • Administrative Support
    • Assist with efficient patient flow and monitor arrival and pending lists.
    • Cancel and reschedule appointments as needed.
  • Equipment Maintenance
    • Familiarize yourself with office equipment and maintain upkeep of printers, fax machines, and copiers.
    • Notify the Practice Manager of equipment failures.
  • Other Duties
    • Provide paperwork to patients and ensure completion of MVA and WC forms.
    • Collect co-payments and post payments.
    • Refer patients to the billing office with insurance or payment problems.

Requirements

  • Education
    • High School diploma or equivalent.
  • Experience
    • Previous medical office experience preferred.
  • Skills
    • Computer literacy and accurate spelling and typing skills required.
    • Medical terminology knowledge and telephone skills preferred.
  • Software/Hardware
    • Familiarity with Meditech software systems preferred.

Working Conditions

The majority of time spent sitting while multi-tasking on the phone, computer, and interaction with patients and co-workers. Must be able to turn, twist, and bend over to move objects up to 5 lbs in weight. Lift and walk with objects up to 5 lbs in weight. Stand up, walk to provider stations and clinic offices throughout the day when necessary.
