Position Overview:
Under the supervision of the Practice Manager, the Medical Office Coordinator plays a crucial role in managing communication and administrative tasks within the practice. This includes handling incoming calls, documenting messages related to patient care, scheduling appointments, and maintaining accurate patient records. The coordinator is responsible for ensuring a smooth patient registration process and managing financial transactions, including co-pays and insurance verifications.
Key Responsibilities:
- Welcome patients in a courteous manner.
- Professionally manage and document incoming calls.
- Schedule and update patient appointments, ensuring efficient use of the provider's time.
- Verify insurance eligibility and update patient information accurately.
- Coordinate referrals and follow up to ensure they are processed timely.
- Assist in maintaining a steady patient flow and communicate any delays to patients.
- Monitor appointment lists and make necessary adjustments to optimize scheduling.
- Handle medical records requests and secure patient information as needed.
- Maintain office equipment and report any issues to the Practice Manager.
- Ensure all patient communications are handled with respect and confidentiality.
- Support training and orientation for new staff members.
- Address patient concerns and complaints promptly.
- Demonstrate a commitment to cultural diversity and effective communication with all patients.
Qualifications:
- High School diploma or equivalent required.
- Strong interpersonal skills with a focus on patient satisfaction.
- Proficient in computer use, with excellent typing and spelling abilities.
- Previous experience in a medical office setting is preferred.
- Knowledge of medical terminology and familiarity with billing processes is advantageous.
- Experience with Meditech software systems is a plus.
- Ability to perform physical tasks associated with the role, including lifting and moving light objects.
Education and Experience:
- Education: High School diploma or equivalent.
- Experience: Prior experience in a medical office is preferred.
- Software Knowledge: Familiarity with Meditech software systems is preferred.
