Job Description:
The Office Assistant will be responsible for:
- Answering phones and transferring calls to the appropriate staff member
- Taking and distributing accurate messages
- Greeting public and clients, and directing them to the correct staff member
- Coordinating messenger and courier services
- Receiving, sorting, and distributing incoming mail
- Monitoring incoming emails and responding or forwarding as required
- Preparing outgoing mail for distribution
- Faxing, scanning, and copying documents
- Maintaining office filing and storage systems
- Updating and maintaining databases, such as mailing lists, contact lists, and client information
- Retrieving information when requested
- Updating and maintaining internal staff contact lists
- Coordinating and maintaining staff administrative records, such as staff parking, staff phones, and company credit cards
- Typing documents, reports, and correspondence
- Organizing travel arrangements for staff
- Coordinating and organizing appointments and meetings
- Assisting with event planning and implementation
- Monitoring and maintaining office supplies
- Ensuring office equipment is properly maintained and serviced
- Performing work-related errands, as requested
- Maintaining a clean and tidy office area
Requirements:
To be successful in this role, you must have:
- A High School Diploma or equivalent
- Business college training an advantage
- Previous office experience may be beneficial, but this can also be an entry-level position
- Competent computer skills, including MS Office, Excel, and QuickBooks
- Internet skills, including email, group messaging, and data collection
- Numeracy and literacy skills
- Must be Bilingual (English and Spanish)
