Job Description:

The Office Assistant will be responsible for:

  • Answering phones and transferring calls to the appropriate staff member
  • Taking and distributing accurate messages
  • Greeting public and clients, and directing them to the correct staff member
  • Coordinating messenger and courier services
  • Receiving, sorting, and distributing incoming mail
  • Monitoring incoming emails and responding or forwarding as required
  • Preparing outgoing mail for distribution
  • Faxing, scanning, and copying documents
  • Maintaining office filing and storage systems
  • Updating and maintaining databases, such as mailing lists, contact lists, and client information
  • Retrieving information when requested
  • Updating and maintaining internal staff contact lists
  • Coordinating and maintaining staff administrative records, such as staff parking, staff phones, and company credit cards
  • Typing documents, reports, and correspondence
  • Organizing travel arrangements for staff
  • Coordinating and organizing appointments and meetings
  • Assisting with event planning and implementation
  • Monitoring and maintaining office supplies
  • Ensuring office equipment is properly maintained and serviced
  • Performing work-related errands, as requested
  • Maintaining a clean and tidy office area

Requirements:

To be successful in this role, you must have:

  • A High School Diploma or equivalent
  • Business college training an advantage
  • Previous office experience may be beneficial, but this can also be an entry-level position
  • Competent computer skills, including MS Office, Excel, and QuickBooks
  • Internet skills, including email, group messaging, and data collection
  • Numeracy and literacy skills
  • Must be Bilingual (English and Spanish)
