Job Overview

Position: Administrative Assistant | Enrollment Management

The Administrative Assistant II plays a vital role in ensuring smooth operations within the enrollment management department. This position encompasses hospitality, office management, logistical assistance, and system operations. Key responsibilities include managing switchboard communications and welcoming center visitors, as well as facilitating campus visit coordination.

Candidates are expected to embody and promote the Christian, Catholic, Benedictine mission of the University of Mary.

Core Responsibilities Include:

  • Providing a warm welcome to in-person visitors, managing incoming calls, and addressing email inquiries.
  • Handling switchboard operations and assisting guests at the Welcome Center.
  • Coordinating departmental schedules, managing inventory of supplies and promotional materials, drafting correspondence, scanning and filing documents, processing mail and faxes, maintaining office equipment, and facilitating technical coordination within the department.
  • Supporting event and meeting logistics, including room reservations, catering arrangements, travel coordination, expense reconciliation, employee onboarding, and assisting departmental leaders with various tasks.
  • Assisting in the planning and scheduling of campus visits and events.
  • Inputting data into business systems, identifying and resolving data discrepancies, performing departmental reporting processes, documenting standard operating procedures, and providing cross-training and backup support.

Minimum Qualifications and Experience:

  • High School diploma is required.
  • Associate's degree is preferred.
  • A minimum of three years of relevant experience is required.
  • Preferred: Five years of directly related experience.
  • Commitment to upholding the Christian, Catholic, Benedictine mission of the University of Mary.
  • Support for the ongoing implementation of Ex Corde Ecclesiae, the apostolic constitution on Catholic colleges and universities.
  • Fostering a culture of genuine hospitality in the Office of Enrollment Management and across the university, in line with Saint Benedict's teaching to welcome all as Christ.

Required Skills and Knowledge:

  • Ability to model warmth, courage, and integrity.
  • Proficient in addressing the needs of prospective and current students, faculty, staff, business partners, and other university contacts.
  • Strong organizational, communication, and interpersonal skills.
  • Detail-oriented with the ability to manage deadlines effectively.
  • Commitment to maintaining confidentiality and discretion.
  • Adaptability to organizational changes and process improvements.
  • Proficient in utilizing Microsoft Office Suite.
