Job Description

Job Summary:

We are seeking a highly skilled Proposal Coordinator to join our team at Robinson Aviation (RVA), Inc. The successful candidate will be responsible for providing support in the preparation of complex proposals in response to Government and Commercial Sector Requests for Proposals (RFPs) and Task Orders.

Key Responsibilities:

The Proposal Coordinator will work closely with the Proposal Manager to ensure the highest quality of service is provided, remaining consistent with the organization's policies, procedures, and philosophies. Key responsibilities include:

  • Coordinating, writing, and developing compliant responses to RFPs.
  • Interpreting and analyzing RFP requirements and appropriate data to write proposals that support client/agency solutions and ensures full compliance with all FAR/DFAR clauses and responsiveness to government procurement requirements.
  • Translating technical information into clear, consistent, and grammatically correct content.
  • Developing and writing pursuit content that articulates our strategic messaging in a compelling and persuasive manner, incorporating comments/recommendations as needed while making sure all timelines are met.
  • Conducting final quality control and ensuring consistency and accuracy.
  • Working with teaming partners to issue or to respond to data calls.
  • Responsible for packaging and delivering final proposal.
  • Able to manage multiple proposal efforts simultaneously.
  • Keeps management informed by submitting regular activity and results reports.
  • Must be able to effectively respond to technical writing requirements.
  • Coordinate assigned projects independently and with strict adherence to detailed customer specifications.
  • Create additional documents, including pricing proposals, standard program proposals, and ad hoc documents when needed to support the proposal cycle.
  • Develop and maintain proposal-ready response information materials to utilize as a reference tool to complete future proposals or internal requests.

Requirements:

The ideal candidate will have a Bachelor's Degree from an accredited college or university, or recent work experience in capture management and proposal writing. Key qualifications include:

  • One year of experience in proposal generation.
  • Preferred (but not required) experience in federal government proposals.
  • Outstanding communication skills (written and oral) including strong ability to write, edit, and proofread.
  • Direct practical experience in writing proposals.
  • Knowledge of proposal development including attending kick-off, building compliance matrices and outlines, participation in reviews, and collaborating on a pursuit from beginning to end.
  • Strong proficiency in Microsoft Office applications, specifically Word and Excel is required.
  • Experience working with Adobe InDesign is a plus.
  • Familiar with using Internet-based market research tools (i.e. GovWin) is a plus.
  • Ability to work effectively in a fast-paced and deadline-driven environment.
  • Strong project management skills including ability to prioritize tasks, manage a large number of multi-stage projects, and complete them in a timely fashion.
  • Demonstration of the necessary personality and skills to engage Prime and Subcontractors at all levels is required.
  • A working knowledge of government and military contracts, GSA, and FAR is desired, but not required.

Security Clearance:

None required, but must be eligible to obtain a security clearance.

Working Conditions and Environment:

The successful candidate will be required to work in a fast-paced environment with high pressure and intense concentration needed. Must pay constant attention to detail-visual, mental. Must be able to multi-task constantly. Ability to perform under stress. Varied hours are required occasionally. Located in office at our Oklahoma City corporate headquarters.

Travel:

Ability to travel up to 10%.

Preferred Qualifications:

Experience in use and maximization of technology, aviation, and medical terminology and quality improvement process.
