Jan-Pro Cleaning & Disinfecting Oklahoma City is seeking a highly skilled and organized Administrative Assistant to join our team. As a key member of our support staff, you will play a vital role in ensuring the smooth operation of our office.

Key Responsibilities:
  • Provide administrative support to the Regional Director, including handling accounting, franchise support, and administrative tasks.
  • Manage incoming calls, emails, and voicemail messages with prompt and professional responses.
  • Welcome visitors by greeting and directing them appropriately, while notifying staff of their arrival.
  • Assist with answering inquiries and maintaining employee and department directories.
  • Conduct franchise presentations to the Hispanic community (Bilingual in English & Spanish required).
  • Ensure office security by following procedures, monitoring visitor logbooks, and issuing visitor badges.
  • Keep the reception area organized, safe, and clean by adhering to office procedures.
  • Assist in creating sales proposals and customer onboarding documents for outside sales executives.
  • Receive and process supply orders from customers and franchise owners.
  • Manage credit card payments and assist with billing questions.
  • Support the preparation of end-of-month statements and other financial documents.
  • Maintain inventory and order office and warehouse supplies as needed.
  • Handle general office duties such as troubleshooting equipment, organizing safety data sheets (SDS), and managing staff birthday announcements.
  • Distribute sales leads to the Regional Director and assist with franchisee onsite inspections.
  • Open and close the office daily, ensuring smooth operations.
Requirements:
  • Bilingual in English & Spanish is required.
  • Excellent telephone, verbal communication, and listening skills.
  • Strong organizational and multitasking abilities.
  • Ability to handle pressure and maintain a professional demeanor.
  • Customer-focused with a high level of attention to detail.
  • Familiarity with office equipment and supply management.
  • Proficient in using telecommunication systems and basic office software.
Work Environment:

Primarily an office-based role in a climate-controlled environment.

Exposure to office equipment, cleaning products, and moderate noise levels typical of an office setting.
